The Senior Administrative Coordinator II works under direction and coordinates administrative support for the Office of Research, the Senior Associate Dean of Research, and the Summer Undergraduate Research Program exercising discretion and independent judgement with respect to matters of significance.

Required Education and Experience:

Bachelor's degree or equivalent combination of education and experience

Seven years of experience in office administration
Required Knowledge, Skills, and Abilities:

Knowledge of word processing, spreadsheet, database, and presentation applications

Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative

Ability to multi-task and work cooperatively with others

Strong interpersonal, planning, and organizational skills

Excellent verbal and written communication skills
Preferred Qualifications:

Experience working with research faculty preferred

Experience with student onboarding and registration
Responsibilities:
Administrative Support: Office of Research
-
Coordinates and provides general office administrative support for the Office of Research, including performing highly technical, responsible, and confidential administrative duties in support of the Senior Associate Dean of Research.

Coordinates calendar, arranges travel, plans meetings and seminars for Senior Associate Dean of Research
General Administrative Support
-
Assists in the development of administrative operations and making adjustments to methods and procedures.
-
Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. Analyzes internal processes and times lines and recommends and implements procedural or policy changes.

Assists in the development and monitoring of budgets.

Processes invoices and payment card transactions.

Coordinates WebSpace Survey for research and basic science education spaces for the School of Medicine.

Tracks internal funding applications and Grant Advisory Committees.

Performs special analyses and project summaries.

Prepares and reviews operational and special reports.

Makes recommendations for process improvements, administrative changes, or new initiatives.
Summer Graduate Program Coordination

Coordinates the School of Medicine’s Summer Undergraduate Research Program, including maintaining budget; coordinating student onboarding and registration, housing, schedule, training, and stipend; and planning weekly seminars.

Performs other duties as assigned.
