Essential Responsibilities:
The Senior Administrative Specialist performs a wide variety of administrative activities requiring independent judgment and strong organizational skills. Proactively supports a manager and team by prioritizing and completing multiple activities. Maintains and submits (electronic/hardcopy) regulatory facility licenses, renewals, modifications, permit and supporting licensing documents for various agencies. Develops, distributes and files memos, letters, presentations, and regulatory documents such as inspection reports, certificates, orders, and correspondence. Timely receipt, purchase order matching, payment and tracking of regulatory fees and invoices. Provides support and logistics for regulatory inspections. Appropriately handles routine inquiries and exercises appropriate judgment in escalating issues to team members or managers as needed. Prioritizes, organizes, and follows-through on assignments in a timely manner. Composes routine letters and memoranda for authorized individual review/signature. Prepares and distributes routine reports following established procedures and protocols. Performs additional general administrative duties such as receive fax / letters, answer routine questions, locate and furnish information, organize and maintain files, order supplies, maintain regulatory posting notices, and follow up on pending matters. Maintains and coordinates calendars, schedule meetings and appointments. Works closely with other administrative positions in a collaborative manner, including occasional coverage for others during absences.
Project work is frequent and complex. Accurately maintains electronic databases, files, shared virtual drives and other information repositories. Maintains control of company proprietary, security and other sensitive information.
Qualifications/Requirements:
High School Diploma / GED. Minimum of three years of full administrative / secretarial experience or graduate of a one- or two-year college level secretarial program and one year of full administrative secretarial experience.
Minimum of one year of experience in Microsoft Office Suite.
Desired Qualifications:
Administrative/secretarial experience includes positions such as office manager, secretary, administrative assistant, paralegal or equivalent. Demonstrated ability to operate computer systems, including proficiency in the following software applications: MS Word, PowerPoint, Excel, Outlook and Access. Demonstrated aptitude in verbal and written communication, including grammar and composition and the ability to work in complex document formats and templates. Experience with the Internet, including Web-based applications and Internet searches. Proficient use of various specialized equipment, including telephone, voicemail, teleconference hook-up, computer scanners and presentation machinery. Excellent organizational and administrative skills, with high level of accuracy and attention to detail. Ability to lead appropriate work-related activities and processes using strong interpersonal skills and a professional approach. Ability to prioritize, meet deadlines and complete a high volume of work while working independently. Self-starter, with demonstrated ability to perform under pressure and meet tight deadlines. Ability to promptly become proficient in various automated business systems and Web-based information tracking systems.
Eligibility Requirements
Ability and willingness to complete restricted area access training and work overtime, as required. Ability and willingness to complete a software application skills assessment prior to hire.
Ability and willingness to serve as a notary public.
This role is restricted to U.S. persons (i.e., U.S. citizens, permanent residents, and other protected individuals under the Immigration and Naturalization Act, 8 U.S.C. 1324b(a)(3)) due to access to export-controlled technology. GE will require proof of status prior to employment.
