JOB BRIEF

The Senior Travel Coordinator (STC) provides travel support to all USIP staff and is the main point of contact, trainer, advisor of requirements, regulations, and procedures and provides professional travel expertise for staff and invitational travel in accordance with the Federal Travel Regulation (FTR) and USIP’s Travel Policy. The position is responsible for coordinating travel for executive office staff, processing foreign and domestic travel-related documents for temporary duty (TDY) travel, and reviewing travel vouchers for compliance with regulations and policy. This position is based in Washington, DC, and reports to the Director of Accounting and is a member of the Office of Finance and Operations.

TARGET SALARY RANGE

Grade 10 - $68,000 - $70,000

The Institute uses the General Schedule salary tables for administering compensation. Offers are determined based upon candidate qualifications, related experience, internal equity, and the amount budgeted for the position.

RESPONSIBILITIES

  • Assist USIP staff with preparing foreign and domestic travel authorizations, vouchers, and expense claims.
  • Serve as a point of contact for technical questions regarding USIP's electronic travel system (Concur Government Edition (CGE)) and assist Institute staff in resolving system errors on travel documents.
  • Arrange/prepare travel on behalf of executive office staff.
  • Analyze and review travel itineraries and ensure alignment with Federal Travel Regulations (FTR) and USIP’s Travel Policy.
  • Monitor aged travel obligation balances and clear all travel-related rejected documents/transactions.
  • Provide technical assistance and in-person and/or virtual training sessions regarding travel-related policies, processes, procedures, best practices, and updates.
  • Assist with travel credit card reconciliation.
  • Coordinate and liaise with Travel Management Company (BCD) and Concur account managers on a regular basis.
  • Effectively communicate with internal and external clients and manage staff expectations.
  • Serve as a travel subject matter expert in working with specific Centers or Offices in assisting/mentoring them with guidance.
  • Assist with preparing and updating travel guidance for USIP staff.

Performs other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree in public administration, business, finance, accounting, or equivalent experience in a related role is required.
  • Minimum of four (4) year of experience related to federal travel is required.
  • Minimum of two (2) years of experience and knowledge of Federal Travel Regulations is preferred.
  • Must possess strong organizational skills with acute attention to detail and time management skills.
  • Strong communication skills, ability to liaison with people of various cultural backgrounds, different levels of management, both in-person and digitally.
  • Ability to execute duties in a fast-paced environment without compromising quality.
  • Experience and proficiency in the use of Microsoft Office Suite and Adobe are required.
  • Experience with Concur and other web-based software and database systems is strongly preferred.
  • Keeps abreast of changing regulations and maintains thorough working knowledge of applicable laws, rules, decision, etc.
  • Must be able to pass a NACI clearance.
