Service Writer/Warranty Administrator Job at Transwest

The Service Writer acts as the liaison between the customer and Transwest when service is required. By providing one consistent source of information for the client, technicians and shop foreman are able to perform their duties with minimal interruptions. By coordinating with the customer, obtaining information, and creating an accurate repair order, the Service Writer is the gateway to accurate and reliable service. ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Communicate with customers by quickly responding to inquiries.
  • Answer service calls and deliver timely updates to clients regarding status updates on work being performed and scheduling work.
  • Greet customers who enter the location.
  • Interview customers in a professional manner to determine the needed repairs.
  • Obtain all necessary information from the customer to establish a business relationship.
  • Create a repair order by identifying current vehicle condition, estimated repair time, getting quotes/estimates from the shop if necessary, supply any supporting documentation and obtain work authorization.
  • Creation and invoice the repair order.
  • Review work performed with customer and collect payment.
  • Communicate with Shop Foreman on pertinent repair information and updates.
  • Follow up with customers regarding service.
  • Quality Control of services provided on Truck and Trailer finished products.
  • Assisting Service Manager and Foreman with multiple tasks.
  • Assist in daily payroll auditing for shop employees
  • Ability to obtain and prepare literature from manufacturers for technicians and foreman to perform diagnostic techniques
  • Review all warranty paperwork to ensure proper documentation and verify required criteria for the factory or distributor.
  • Prepare, complete and submit the appropriate warranty claims information and supporting documentation to the vendor.
  • Maintain thorough knowledge of all vendor procedures through ongoing training and publications.
  • Negotiate “grey” areas of dispute with customers and vendors.
  • Maintain all service and customer records as required by the warrantor.
  • Utilize technical knowledge of vehicle service to verify proper documentation of repairs for warranty coverage and payment.
  • Provide updates and status reports to the Service Manager.
  • Additional duties as assigned.

WORK ENVIRONMENT & PHYSICAL ABILITIES:

  • Requires frequent sitting, standing, balancing, bending or stooping for prolonged periods of time.
  • Required to perform work inside and outside, in all-weather situations, at the shop division location.
  • Manual dexterity, fine manipulation and the ability to reach with hands and arms and lift up to 80 lbs.
  • Must be able to operate simple to complex and heavy-duty machinery.
  • Normal range of hearing and vision.

REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:

  • High school diploma or equivalent.
  • Valid Driver's License and MVR in good standing.
  • Ability to obtain a CDL within 90 days of employment (diesel service departments).
  • Ability to multi-task.
  • Detail oriented.
  • Previous experience as a service writer or advisor a plus, 1-2 years.
  • Knowledge of diesel engines, gas engines, drive train and suspension is a plus.
  • Exemplary customer relation skills.
  • Heavy and medium duty truck industry experience is a plus.
  • Excellent verbal and communication skills.
  • Proficient using computers.
  • Ability to work any shift, including nights.
  • Ability to successfully complete a General Abilities Assessment and pass a post-offer background check, physical and drug screening.
