Starting Range: $55,092 - $68,062

PURPOSE OF POSITION:
The Special Events Coordinator advances the mission of PenMet Parks by delivering special events for community members and visitors. The position facilitates placemaking initiatives to foster the connection between community members, business owners, nonprofit groups, and the District. This role requires excellent event-planning skills along with the ability to define project milestones and deadlines and coordinate both teams and external contractors to ensure a successful and enjoyable event that meets organizational goals and expectations.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES/DUTIES:
Manages all stages of community and special events from ideation and planning to its successful implementation and completion.
Proactively identifies opportunities to improve systems, processes, and services. Develops, plans, promotes, implements, and evaluates new and existing community and special events considering factors such as District goals and objectives, community need, and industry trends. Develops event plans that include purpose, budget, audience, logistics, schedules, and evaluation metrics. Creates and presents post event reports.
Develops and implements all components of the assigned program, which includes instruction, planning, coordinating, administering, and evaluating events, projects, processes, procedures, systems, standards, and/or service offerings.
Ensures activities comply with Federal, State, and Local laws, regulations, rules and/or standards, as well as District and departmental policies, procedures, and regulations.
Recruits, supervises, and evaluates the performance of assigned cross-functional staff, contractors, volunteers, and vendors. Facilitates and coordinates training for staff and volunteers.
Manages contracted service providers including procurement, contract development, evaluation, and invoice processing.
Develops and manages annual and program-specific budgets for assigned programs. Assists in developing program financial and other performance goals. Reports on performance data and program insight to inform budgeting and decision-making. Researches and purchases supplies and equipment required to deliver programs.
Provides on-site leadership and instruction during special events to program participants. Creates and distributes written and visual marketing and promotional materials for special events.
Coordinates and develops social media and website content to market the special events.
Develops effective working relationships with community groups, businesses, local/county/state agencies, and other organizations to maximize program effectiveness.
Develops and oversees the special event sponsorship program including the solicitation, management, and recognition of District special event sponsors.
Commits to clarifying and supporting internal and external customers’ goals and strives to meet their expectations and requirements.
Takes responsibility and ownership for accomplishing work, delivering results, and meeting the organization’s objectives.
Supports and maintains an inclusive work environment that respects diverse ideas, backgrounds, and styles.
Performs other duties as assigned.

QUALIFICATIONS:
Required Experience:
Two years of experience planning and implementing community events.
Experience overseeing events with attendance up to 5,000.

Required Education:
Bachelor’s degree from an accredited college or university in Recreation, Public Administration, Business Administration, Communications, Education, or related field(s).
Associate degree in Business Administration, Communications, or Public Administration and two additional years of experience may be substituted for the required degree.

Professional Licenses/Certifications:
Certification in CPR, First Aid, blood borne pathogens, and AED (or obtained withing 90 days of hire).

Knowledge/Skills:
Skilled in managing event logistics, developing schedules, coordinating internal/external stakeholders, staffing, vendors, supplies, permits, and venue preparation.
Proficient in event planning and managing of deliverable timelines.
Proficient skill in managing vendor relationships and negotiations.
Knowledge of best practices and industry trends to effectively plan and implement special events
Knowledge of procurement and contractor and vendor management.
Proficient in managing event budgets and identifying opportunities to reduce costs or reallocate funding to ensure projects stays on budget.
Performs multiple tasks simultaneously.
Assesses the work to be performed and sets appropriate priorities and realistic time parameters.
Proficient in event planning software, SmartSheet/Asana, Microsoft Office, recreation software (ActiveNet), and graphic design software. Knowledge of accounting software (Springbrook) to manage budgets.
Ensures work is thoughtfully and professionally completed.
Possesses excellent written, listening, and verbal communication skills.
Produces and delivers professional-quality reports, promotional materials, and other communication materials.
Works cooperatively and collaboratively with internal and external colleagues, the Board of Park Commissioners, contractors, partners, and the public.
Skilled in conflict resolution and providing excellent customer service to a broad range of participants and constituents.
Assesses situations effectively, identifies solutions, and takes initiative with minimal supervision.
Provides high-quality, responsive, and personable customer service.

WORKING CONDITIONS AND PHYSICAL DEMANDS:
Work is performed in an office environment, recreation facilities, and outdoors at various parks and properties.
Some work will be performed in settings with exposure to varying environmental and weather conditions.
The position will occasionally be required to lift and carry up to 50 pounds.
This position will require seeing, talking, walking, standing, bending, crouching, crawling, carrying, pushing, and pulling.
Prolonged periods of time may be spent using a computer, telephone, and other office equipment.
Some local traveling will be required for meetings and visiting District facilities.
A valid Washington driver’s license (required).
This position is expected to work an irregular schedule that includes evenings and weekends as dictated by District programs and the special events schedule.
