Special Events Coordinator Job at YWCA Knoxville
Under the supervision of the Director of Development, the Special Events Coordination plans and executes activities and events related to fundraising and increasing awareness of the mission of the YWCA of Knoxville and the Tennessee Valley within the larger community. This includes but is not limited to soliciting vendors, securing supplies and volunteers, and other logistical activities required for the execution of events.
Responsibilities:
- Oversees, directs, and coordinates, with the Director of Development, all special event planning, execution, and volunteer coordination.
- Plans, implements, and leads all special event coordination.
- Ensures all special event programming supports the YWCA mission and vision.
- Supervises coordination of event contractors, vendors, volunteers, and staff for special events. Including, but not limited to, leading committee meetings.
- Establishing and maintaining relationships with vendors and venues.
- Planning event details and aspects, including seating, dining, and guests.
Creating reliable financial reports and collecting payments on time.- Remaining under budget with all costs.
- Managing events and addressing potential problems that may arise.
- Assist the Director of Development with securing sponsorships for events and ensuring fulfillment of sponsor package commitments.
- Planning for potential scenarios that could impact the integrity of the event.
- Maintaining a working knowledge of the complex needs of a wide variety of events.
- Maintains confidentiality of donor and client information.
- In coordination with the Director of Communications helps promote special events as event spokesperson for media and public interactions, as needed.
- Other duties as assigned.
Qualifications:
- Highly collaborative style; experience developing and implementing multiple types of events. Embraces and actively promotes an inclusive and equitable work environment.
- Passionate about working in an organization that values and promotes diversity, equity, inclusion and anti-racism.
- Must understand the mission of the YWCA, and enthusiasm for the people served and the programs created.
- Collaborative team management.
- Ability to create a budget for different events.
- Excellent logistical skills.
- A relationship-builder with excellent communication and interpersonal skills in person by phone and in writing.
- Must be detail-oriented, with strong organizational, analytical and planning skills.
- Self-starter, able to work independently and part of a team.
- Bachelor’s degree and a minimum of 2 years’ experience in event management or similar work.
Pay Information:
$40,000/year- $45,000/year
Schedule:
- 37.5 hours weekly
- Monday-Friday 9:00am-5:00pm, 30-minute unpaid break during shift
