Accounts Payable/Purchasing Functions
1. Along with the Accounts Payable Coordinator, responsible for all aspects of the Accounts
Payable function for the association.
2. Maintain vendor relations as it relates to inquiries concerning invoices and statements, credit
applications, and tax and other regulatory documentation.
3. Using the association’s invoice approval workflow system, route invoices electronically to
appropriate staff for review, coding, and approval.
4. Ensure the timely and accurate paying of association expenses in compliance with established
policies and related accounting entries into the general ledger.
5. Prepare and file annual IRS form 1099’s to appropriate vendors.
6. Assist in the evaluation of association spend data for opportunities to recognize expense
savings.
Fixed Asset Management
7. Responsible for maintaining all fixed asset records including all acquisitions, dispositions, and
depreciation as well as the related accounting entries into the general ledger.
8. Prepare required audit schedules related to fixed assets for our annual external audit.
General Ledger Accounting Functions
9. Reconcile various general ledger account balances back to detailed subsidiary ledgers and/or
test for reasonableness.
10. Manage and reconcile prepaid expense accounts ensuring amounts are recorded to appropriate
fiscal periods.
11. Prepare and enter journal entries as needed.
Other Functions
12. Cross train with the Accounts Payable Coordinator in functions such as depository bank
reconciliations, Purchasing Card (P-Card) management, and vendor purchasing portals.
13. Other duties as assigned and/or requested by the Controller.

QUALIFICATIONS:
1. Bachelor's degree in accounting or equivalent required.
2. One year of related experience in accounting preferred. Accounting experience in a nonprofit
organization preferred.
3. Employee must have working knowledge and expertise of Microsoft Office Suite software.
Must have experience with or obtain proficiency within 30 days of hire on the following
software systems: Blackbaud Financial Edge, Blackbaud Raiser’s Edge, ActiveNet, and
PowerPlan software.
4. Ability to work with integrity, discretion, and a professional approach.
5. This position requires analytical abilities and multitasking in order to identify problems and
recommend solutions.
6. Job requires accuracy and attention to detail, organizational, and time management skills,
while maintaining high levels of initiative in order to work within deadlines.
7. A Texas Driver’s License is required as well as capacity to drive to various locations within the
greater San Antonio metropolitan area.
8. Certifications required within the first week of hire: Bloodborne Pathogens, Hazardous
Communications, and Defensive Driving.
9. Certifications required within the first 60 days of hire: CPR Pro and First Aid. If working at a
location with a pool, must also complete O2 certification.
WORKING CONDITIONS:
1. Visual acuity is required for reading computer screens and/or documents and making changes
as necessary/required.
2. Occasional stooping and bending with regular lifting of up to 20 pounds is required.
3. Incumbent must be able to stand for long periods of time, as well as be able to use keyboards,
telephone keypads, and writing utensils.
