POSITION TITLE: Staff Scheduler
DIVISION: Community Services
CLASSIFICATION: Full-Time
STATUS: Non-Exempt

PURPOSE:
Provide supervision to the Supported Living Caregivers of the Developmentally Disabled to achieve the goal of ensuring that the client receives necessary services and interventions. Ensure caregivers are scheduled for shifts, trained, and capable of delivering the needed services to persons served.
ESSENTIAL FUNCTIONS:

  • Train and schedule all direct care supported living staff. Recommend disciplinary action as appropriate.
  • Audit staff time to ensure that schedules are followed and time entry is accurate. Approve hours for the Caregivers of the Developmentally Disabled for the Supported Living Department. Monitor OT and report to Assistant Director and Director of Community Living.
  • Conduct, track and document all required BQIS and agency mandated general trainings for the Supported Living Staff. Conduct monthly Supported Living staff meetings for training purposes, and to update the staff on department changes and upcoming agency events.
  • Schedule all Supported Living Emergency Drills, annually. Document interactions with the staff and persons served and address concerns in a timely manner.
  • Ensure services are provided in compliance with all funding sources and governing bodies (CARF, BDDS, BQIS, State and Federal Law). Meet monthly with the Coordinator of Supported Living Services to discuss personnel-related issues. Meet weekly with the QIDP and House Manager to discuss person served and staff related issues.
  • Serve as a liaison between persons served, families, staff, external professionals, and the community. Provide direct care as needed and participate in the on call rotation.
  • Display patience in all situations involving persons served. Speak in an even, positive and professional tone of voice when conversing with persons served.
  • Appropriately respond to person served behavior via verbal and/or physical intervention based on the needs of the persons served.
  • Be readily available to answer staff questions and/or schedule time to meet with Supported Living staff and route them to the appropriate department if needed.
  • Conduct divisional orientation with new Supported Living Staff. Provide training for Supported Living Staff and agency staff covering topics required by regulation and quality service provision.
  • Apply a variety of training methods as appropriate, including lecture, role model, text, and outside sources.
  • Strictly maintain confidentiality of all persons served and staff, and safeguard persons receiving services and families' human and civil rights.
  • Work collaboratively with Coordinator of Housing to ensure Supported Living emergency drills are being completed.
  • Ensure that employees follow all departmental and agency policies as well as state and federal laws. Input staff schedules into Provide for the Caregivers of the Developmentally Disabled.
  • Review the hours planned and scheduled hours biweekly and adjust hours scheduled based on the availability of hours for the person served. Report budgets that are over to Assistant Director and Director of Community Living. Compare hours worked by Caregivers of the Developmentally Disabled to the hours scheduled and ensure accuracy of the hours that were reported.
  • Schedule Supported Living PTO and Medical approved time off. Maintain working knowledge of Provide system. Conduct scheduled home visits to persons being served for the purpose of monitoring staff. Promote agency philosophies, generate team spirit, create and maintain an environment that fosters employee satisfaction, maximizes productivity and profitability.
  • Assist the QIDPs and other Supported Living office personnel, as needed. Conduct all required BQIS and agency mandated general trainings for the Supported Living Staff and agency staff using a variety of methods: lecture, role model, text, and outside sources, as needed. Assist the QIDP with staff direction to ensure ISP requirements are being met, as needed. Safeguard persons served and families' human and civil rights.
  • Must be able to care for the physical needs of persons served including feeding, hygiene, and toileting. Must be capable of assisting in physically transferring/moving persons served when needed. Physical activities may include but not be limited to: lifting up 25-50 pounds (depending on person served); bending; reaching; stretching; grasping; visual acuity; walking; squatting, guiding; and transporting.
  • Use of medical adaptive equipment including, but not limited to: Wheelchair, Hoyer Lift, Shower Chairs, Blood Sugar Testing Equipment is required.
  • Participate in annual and quarterly meetings for person served, as needed. Potential exposure to bodily fluids, pests, contagious pathogens, and/or bed bugs. Must be able to climb stairs on a daily basis to access work areas, which are currently without elevator access.
  • Become active in an organization of related professionals. Attend related training as authorized or required.

QUALIFICATIONS:

  • High School Diploma or equivalent experience in a human service field preferred, plus at least one year of experience working with the MR/DD population, preferable in a residential setting.
  • Must possess excellent communication skills both written and oral, and strong teamwork skills. Must have the ability to successfully work in both independent and group settings.
  • Must be capable of communicating effectively during a crisis situation.
  • Must be able to work a flexible schedule, including some evenings and/or weekends, to meet the training needs of divisional staff.
  • Maintain a valid Indiana driver's license, insurance on personal vehicle (minimum of PLPD with Medical liability coverage), and maintain insurability as defined by the agency liability insurance carrier.
  • Must possess and maintain reliable transportation that meets state requirements for transporting persons served.
  • Possess and maintain a clear criminal record as required by Medicaid Waiver regulations. Supervisory experience required.
  • Must possess or be able to obtain CPR and first aid certification annually and perform as necessary.
  • Must possess or be able to obtain CPI certification annually and perform as necessary.
  • Dress appropriately as defined by department dress code.
