Job Summary

The Legal Support Manager position provides leadership and oversight of the administrative staff who support the City Attorney’s Office in service as the legal advisor to City Council and City employees. This position implements office policies and procedures the City Attorney has adopted by providing management of administrative workflow, records and resources, employment processes, finance and accounting, technology as well as service expectations and communication for both internal and external constituents. As a member of the City Attorney’s management team, the Legal Support Manager provides research, recommendations, and planning related to office management, programs and initiatives, and meeting/event coordination. This position ensures the executive assistance for the City Attorney either directly or coordinated through the legal support staff. In addition to supporting the City Attorney’s office with personnel management and associated processes, this position provides direct leadership for legal support staff through personnel management by defining roles and responsibilities of positions, recruiting and onboarding, providing training and feedback as well as overall performance management for legal support staff.


Essential Duties and Responsibilities

The following duties and responsibilities are illustrative of the primary functions of this position and are not intended to be all inclusive.

  • Performs executive level administrative duties in support of the City Attorney’s Office (CAO).
  • Maintains compliance and confidentiality when generating, reviewing, and distributing communications on behalf of the CAO.
  • Serves as a representative for the CAO during enterprise-wide collaborations with other administrative business leaders and clients.
  • Responds to internal and external customers regarding client and community legal inquiries.
  • Researches and compiles data and prepares reports to inform CAO management decisions.
  • Ensures quality control by composing and editing reports and correspondence.
  • Participates in management team meetings and provides input, coordination, and administrative support.
  • Determines the standard operating procedures and daily activities to ensure compliance with CAO requirements.
  • Monitors and tracks budgets and other financial transactions; may perform transactional accounting functions.
  • Plans, coordinates, supervises, and evaluates the work and performance of the legal support staff.
  • Provides support for personnel management procedures from position conception to on/off-boarding.
  • Oversees maintenance and coordination of CAO computer software and hardware.
  • Responsible for maintaining the physical and electronic filing systems for CAO records.
  • Participates in the facilities management activities for the CAO, including master planning efforts, minor renovation efforts, designation of space for functional efficiency and maintenance.
  • Administers and prioritizes special projects and programs related to law office administration and operations.
  • Creates and generates documents and communication with various software applications.

Required Education

MINIMUM/PREFERRED
EDUCATION LEVEL

Minimum
High school graduation or general education degree (GED)

Preferred
College-level or technical school course work in a legal, business, accounting, office management or related area

Experience Requirements

  • Five years of experience provide office management or executive level administrative support in a legal or regulatory/compliance related environment of which must have included one year of experience leading or supervising staff.
