POSITION: Administrative Assistant, Office of the President

(temporary/part-time | 12 weeks at 20 hours/week)

REPORTS TO: President

DESIRED START DATE: April 3, 2023 (tentative)

DESIRED END DATE: June 23, 2023

JOB SUMMARY:

Provides clerical and administrative support to the President and the Board of Trustees. Coordinates all external relations activities of the President's Office. Works in coordination with other college departments to ensure excellent communication and cooperation for all Presidents' Office functions, both internal and external. Maintains a Christ-honoring and professional environment in the President's Office in support of the mission of the college.

This position is a temporary, part-time hire for coverage of the Executive Assistant to the President on maternity leave.

JOB DUTIES:

  • Administration
    • Manage the President's calendar
    • Manage mail, email, and telephone communications for the Office of the President
    • Receive/screen all phone calls, directing only essential calls to the President
    • Maintain files, documents, and other materials for the Office of the President and Board of Trustees
    • Finalize preparation of materials for all appointments/meetings as needed
    • Oversee student employee; including assigning tasks and approving timecards
    • Submit presidential call reports
    • Complete expense reports
    • Schedule regular Cabinet meetings, including finalizing the Cabinet agenda alongside the President
    • Serve as host to visitors in the Office of the President
    • Manage projects as assigned
    • Perform other administrative support duties as assigned
  • External Relations
    • Serve as liaison with key external constituents, ensuring excellent communication and cooperation
    • Finalize previously scheduled travel for April, May, and June, including finalizing the President's travel itineraries and agendas in collaboration with internal departments and key external constituents
  • Communications
    • Monitor campus email communication via Google distribution groups

REQUIREMENTS:

  • 2 years relevant administrative experience
  • Excellent oral, written, and interpersonal communication skills with a variety of constituents
  • Competent and efficient with common administrative technologies, such as computers, the internet, and software and applications used for word processing, spreadsheets, and presentation slides
  • Initiative, sound judgment, ability to handle confidential information with care, and the ability to organize a variety of materials and schedules
  • Ability to work collaboratively with other college departments and personnel in the performance of all duties; understand and respect lines of demarcation between areas of responsibility, enabling all college departments to perform their respective duties with appropriate authority and accountability

ADDITIONAL ELIGIBILITY REQUIREMENTS:

  • An acceptance of and commitment to Jesus Christ as Savior and Lord.
  • An understanding of the mission and purpose of Covenant College
  • Must be able to assent to Covenant College's Staff Commitments

PHYSICAL WORK ENVIRONMENT:

  • This role is expected to be performed on campus unless otherwise directed or arranged for and operates primarily in a professional office environment using standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines and other job-related technology.
  • There is a mix of standing and sitting for this particular role.
  • Classified as light, occasional lifting or lowering an object from one level to another (includes upward pulling) up to 10 lbs.
  • Expressing or exchanging ideas and conversation by means of the spoken word; needs to be fluent and conversant using the English language.
  • Set office hours during the 8:00am-4:30pm work day and determined by the administrative assistant in consultation with the president.
  • No travel is required for this position.
