Transaction/Listing Coordinator Job at Legacy Elevated
The Mark Boyland Team at Keller Williams Realty is hiring a Transaction/Listing Coordinator. This dynamic role is a combination of a traditional Listing Coordinator and Closing Manager, allowing you to work closely with both leadership and clients on their real estate transaction from start to finish. You’ll be responsible for responding to client emails and questions in a friendly and timely manner, implementing office standards to streamline our processes, managing transactions calendar, and the rollout and management of new team listings.
Applicants should be extremely thorough, highly organized, and efficient, possess excellent communication skills and have strong customer service skills. This position requires someone who is comfortable working within a systematized process, a self-starter with critical thinking skills, and is comfortable working with several team members at once. A high level of service to our trusted and valued clients is of utmost importance.
This is a full-time salaried position. Office hours are Monday through Friday, with some weekend work needed for urgent matters. General real estate office experience is a plus.
Responsibilities
- Send emails to clients throughout the transactions process as required by scheduled activity plan.
- Answer phone calls and emails to act as a liaison between clients and agents to improve client retention and referral rates.
- Generate status reports as requested.
- Increase productivity by maintaining record-keeping procedures for customer database.
- Continually seek to improve processes.
- Coordinate and schedule important deadlines/dates, appointments, and meetings.
- Perform other administrative support tasks, including updating and sorting files, drawing and proofreading correspondence, and conducting research.
The Listing Process:
- Prepare listing paperwork and presentations for multiple agents
- Build each listing which includes working with Town Hall to collect the following; current tax information, Property Cards and Building File ensuring the client has proper paperwork files
- Schedule photography
- Obtain vendor estimates and schedule cleanings and repairs on homes getting ready to be listed to sell
- Work with the seller to create a final listing that will be uploaded to the MLS
- Lockbox placement/tracking
- Riders Placed/signs ordered and tracking
- Open House schedule with both sellers and covering agent
- Manage listing once live on the MLS including showings and any issues that arise
- Back up to Client Care Manager and Transaction Manager
- Other administrative tasks that develop
The Closing Process:
- Oversee all aspects of buyer and seller transactions from accepted offer to closing
- Ensure that all contract dates and deadlines are met
- Complete under contract and closing checklist for each transaction
- Maintain client relationship by addressing any concerns and resolving issues as they arise
- Maintain regular and professional communication with clients, agents, attorneys, lender and title company throughout entire transaction
- Make arrangements for commission check pickup and delivery
- Bring all keys and remotes to closing
- Order signpost removal for each listing sold
- Schedule and coordinate final walkthrough for all buyer closings
- Confirm closing time and location, input on calendar
- Coordinate any necessary repair estimates
- Coordinate all inspections and appraisals
Qualifications
- Real Estate transaction coordination experience is a plus
- Real estate license not (initially) required
- History of being deadline-driven and extremely organized with excellent attention to detail
- Self-driven, a superb multi-tasker who can handle working in a fast-paced environment
- Enjoys talking with customers and can communicate through verbal and written channels, customer service experience in our industry is preferred
- Navigates computer programs with ease to provide a quick front-desk experience for customers
- Experience with email, phone, and customer relationship management tools to
- communicate with clients and other parties in real estate transactions
- Proficient in Microsoft products, Google Apps for Business, Adobe Acrobat and overall use of technology
Job Type: Full-time
Pay: $50,000.00 per year
