Job Overview

The Ground Transportation Administrative Specialist position at Dallas/Fort Worth International Airport offers a great opportunity for a detail-oriented individual who excels at data entry and is looking to work in a fast-paced environment. In this role, you will be responsible for issuing permits to regulated transportation service providers, managing ground transportation information in multiple computer databases, collecting and reconciling ground transportation revenues, and communicating with internal and external customers in person, in writing, and on the telephone. You will also be responsible for maintaining the security and confidentiality of sensitive security information and data. The ideal candidate should possess excellent communication, computer, and mathematical skills, as well as the ability to establish and maintain effective working relationships.

What you will be doing:

  • Issues regulated company and vehicle permits in accordance with the Dallas/Fort Worth International Airport Board Code of Rules and Regulations.

  • Reviews regulated driver applications for completeness; determines applicants’ identity in accordance with Federal regulations; ensures appropriate authorization signatures are valid and present prior to processing applications.

  • Ensures the accuracy of all data entered into the Aviation Security Clearance Services system and other Ground Transportation databases.

  • Ensures the daily and monthly uploads of biographical and sensitive security information is accurate and completed in accordance with Federal regulations.

  • Ensures a current Security Threat Assessment approval is received from the Transportation Security Administration and that criminal history records check (CHRC) results have been cleared prior to issuing driver permits.

  • Activates and deactivates Airport revenue collection/access transponder devices for commercial operators.

  • Accurately collects fees in accordance with the Airport Board’s current Schedule of Charges; accurately reconciles and reports Airport Board revenue collected; accurately maintains, identifies and prepares a report of billable fees; and prepares reports for past due invoices in accordance with Airport Board and Ground Transportation policies and procedures.

  • Exercises initiative, good judgment, professionalism and discretion when working with internal and external customers and visitors.

  • Receives and resolves customer related issues or questions regarding Ground Transportation services in a courteous and timely manner; periodically follows up with customers until final disposition of issues are reached; refers customer issues to the Ground Transportation Manager when necessary; communicates effectively, accurately and in a courteous manner with customers in person, in writing and on the telephone.

  • Maintains the security and confidentiality of the sensitive security information and data contained within the Ground Transportation office.

  • Maintains, secures, and stores Ground Transportation documents in accordance with Federal regulations, Airport Board policies and procedures and Texas records retention laws.

  • Accurately logs, tracks and reconciles the issuance, loss, theft, return and destruction of control numbered items; and reports lost or stolen control numbered items immediately to the Ground Transportation Manager.

  • May compile, prepare and maintain a variety of statistical reports either manually or automatically, using a personal computer or database system query.

  • Prepares a variety of routine department documents from rough draft or verbal or written instructions, including correspondence, form letters, memoranda, and financial statements.

  • Maintains accurate information on the Ground Transportation Information Boards, Ground Transportation Information Telephones, and the Ground Transportation page of the DFW web site.

  • Assists Environmental Affairs Department in performing field observations of airport activities with respect to potential environmental issues and notifies the Environmental Affairs Department of any observations that may have environmental impact.

What you need:

  • Completion of high school curriculum or equivalent.

  • Two (2) years of work experience that includes data entry and work in a detail-orientated position.

  • Any equivalent combination of education and/or experience may be substituted for the above.

  • Has not been convicted of a Felony, Class A and/or Class B Misdemeanor criminal offense.

  • Has not been convicted of any family violence offense.

  • Skill in using word processing, spreadsheet and database software.

  • Ability to receive, process, maintain and protect the confidentiality of sensitive security information.

  • Ability to deal effectively, courteously and fairly with angry and emotional customers.

  • Ability to perform intermediate mathematical calculations involving fractions, decimals and percentages.

  • Ability to prepare and maintain various databases and reports with accuracy.

  • Ability to communicate clearly, courteously and effectively in person, in writing and on the telephone.

  • Ability to establish and maintain effective internal and external working relationships.

  • Ability to follow oral and written directions.

  • Ability to accurately maintain a variety of manual and computerized logs and filing systems.

  • Ability to understand and adhere to the Airport Board’s safety, security and fire protection policies when performing assigned work on Airport property.

  • Ability to pass a drug test.

  • Ability to pass a truth verification assessment.
