The pay range listed above reflects the FULL pay range for this position. The expected ENTRY pay range is $18.50 - $22.25 per hour, based on qualifying experience and equity within Maricopa County.

This position is eligible for overtime compensation for all hours worked over 40 in the designated workweek.

About the Position
As a Vital Records Registrar, you will register, correct and amend vital records and issue certified copies of birth and death certificates while providing guidance to partners and stakeholders, maintaining security, assuring surveillance of public health mortality threats, adhering to financial guidelines, and complying with Arizona State Statutes, administrative codes, and federal requirements.

We Require
  • High school diploma or GED
  • Two years of office, administrative, or clerical experience
  • Bilingual - Spanish and English
  • Post-secondary education may substitute for experience requirements on a year-for-year basis
  • A valid Arizona driver's license by the time of hire
  • Must secure and maintain an Arizona Department of Public Safety Level 1 Fingerprint Clearance Card and complete a background check
  • Within one month of hire, all employees will be required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health; required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza; some positions require a Hepatitis B vaccine and/or a Tuberculosis test

  • Experience working with medical records or in a health-related field, including mortuary science
  • Certification as a Public Health or Community Health Worker from an accredited college or currently enrolled in a Public Health or Community Health Worker program and eligible to receive certification within six months of hire
Job Contributions
  • Applies specialized working knowledge to register live birth, stillbirth, foundling, death, and fetal death certificates that occur primarily within Maricopa County and the State of Arizona as necessary
  • Applies the appropriate Arizona Revised Statutes, Arizona Administrative Codes policies, and procedures that determine who may or may not lawfully register vital records and obtain certified copies of birth, death, and fetal death certificates
  • Reviews and processes administrative orders or court orders submitted for the purpose of creating or amending Arizona vital records. Enters related data into appropriate databases
  • Validates all identification and evidentiary documents while maintaining 100% data and identity security of all submissions, including various government-issued identification, evidentiary documents, official files, and records provided by the general public and private or public agencies
  • Witnesses, notarize, and/or processes hospital and funeral home correction letters, customer affidavits, court orders, and voluntary acknowledgments of paternity
  • Efficiently and accurately addresses high volume customer inquiries received in person, telephonically, via the web and provides daily activity reports of all vital registration activity to management
  • Maintains, reconciles, and updates funeral home charge accounts financial invoices and accepts various payment tender for services rendered, balances cash drawer, and reconciles paperwork on a daily basis
  • Provides consultation and training to funeral homes, birthing facilities, public partners, and stakeholders regarding the vital registration process
  • Coordinates with the Arizona Department of Health Services to resolve any vital registration issues that may be out of compliance
  • Adheres to the secure data records retention policies and maintains strict compliance with the management and recording of all vital records data contained within the State of Arizona and Maricopa County retention schedules
Working Conditions
  • Must be able to participate in emergency response training as scheduled and be available to respond as directed in the event of a public health emergency
  • May be asked to work at a different satellite location as needed
