Essential Duties:

Logistics

  • Oversee all travel booking and approvals.
  • Work closely with the selected travel agency to ensure staff are booked accurately and within policy
  • Determine which out of policy airfares are allowable.
  • Work with travelers to collect any fees associated with booking outside policy or multiple flights
  • Work with the International office to coordinate flights within policy.
  • Run reports for use with registration and data needs
  • Assist the conference director with logistics based on need.

Human Relations

  • Be a customer service specialist; maintain a warm, personable manner by demonstrating flexibility and a positive attitude in difficult circumstances.
  • Address problem situations that arise and work to find solutions.

Communication

  • Work with conference Director and Administrator to communicate travel policies and approvals/denials of flights to attendees and travel company.

Office

  • Proficiency in all Microsoft systems with strong skills in Excel to manage data involved in the conference.
  • Organize and track flights, approvals, denials, reimbursements, collections.
  • Assist conference Director and Administrator in testing and setting up the travel site.

Working Conditions:

  • Office environment; travel when necessary. (Optional September 2023)
  • Position is part-time July 2023 through January 2024, working 20-35 hours per week.
  • Position is temporary, ending January 2024.
  • The anticipated salary range for this position is anywhere from $15.17-$18.99 hourly depending on experience.

Education:

  • College degree in related field desired.

Qualifications and Experience:

  • Must represent Young Life in a professional and courteous manner.
  • Must observe confidentiality.
  • Previous experience in administrative support of a major project, preferably in conference / event planning.
  • Previous Young Life experience desired.
  • Strong written and verbal communication.
  • Multi-task assigned projects autonomously to completion.
  • Excellent organizational and analytical problem-solving skills.
  • Familiarity with the travel industry a plus.
