DEPARTMENT DESCRIPTION
This position reports directly to the Custodial Services Support Staff Manager and provides general administrative support for the Custodial department. Independently handles the oversite of the custodial email, scheduling, and coordination of department meetings, and first responder to incoming Custodial Customer concerns and needs. Responsible for the oversite and training of the department admins and responsibilities. Track data and/or log equipment, keys, repairs, inventories, fleet, and other transactions within the unit. Process purchasing requests and submit invoices for services rendered by the Custodial department.
JOB SUMMARY
Under the general supervision of Custodial Services Admin Supervisor, the Administrative Lead serves as the lead to the admin operation, and liaison to the operation managers and supervisors for all admin needs. Act as one of the secondary points of contact for the Custodial Services admin operation. Responsible for providing strategic and analytical assistance, making recommendations on custodial business processes to prevent, mitigate and respond to customer issues. Assist with development and implementation of internal operational policies, procedures, guidelines, and controls. This position maintains a high level of confidentiality and attention to detail and accuracy in all areas of responsibility, including but not limited to the handling of restricted and sensitive information in accordance with federal/state laws and University policies.
POSITION INFORMATION
PHYSICAL DEMANDS
- Bend, stoop, reach, and twist in order to complete job duties.
- Ascend and descend stairs/stairwells.
- Work in darkened areas and walk between buildings in the dark.
- Lift up to 50 lbs.
WORK ENVIRONMENT
- Position will participate in the Department of Motor Vehicles (DMV) Pull Notice System.
- Position may, at times, require employee to work with or be in areas
- where hazardous materials and/or infectious diseases are present. Restricted vacation during peak periods.
- Valid CA Driver’s License required.
- Will occasionally work an alternate work schedule and overtime to meet deadlines and operational needs.

QUALIFICATIONS
Required:
Minimum Education/Experience
- Experience and/or training and leading administrative clerical staff, including budgetary and operational oversight and/or responsibilities
- Experience forecasting and strategic planning to analyze and compile custodial data and reports.
Minimum Knowledge, Skills, and Abilities (KSA)
- Independent judgment skills to determine the type of quantitative data needed for analyses and to develop recommendations based on the analysis.
- Strong writing and communication skills to prepare and present documents, reports, proposals for management and correspondence with various constituencies within campus and UC system.
- Administrative and analytical expertise to support Custodial Services business. Intermediate computer application skills. Experience using software applications such as Microsoft Windows, Word, and Excel.
- Project management skills to work effectively to achieve timely progress on multiple complex, meet deadlines, and maintain a high level of productivity.
- Leadership skills to implement new processes and improve the overall effectiveness of a team.
Preferred:
Preferred Education/Experience
- Bachelor’s degree in Business Administration, Accounting or other related field, or equivalent combination of education and experience.
- Experience in Custodial, Housekeeping, Janitorial and/or Facilities Management.
- Skills to solicit constructive input, develop consensus, provide accurate and timely feedback, resolve problems/conflicts, and build effective team environment.
- Skill to develop creative solutions to general problems attempt unfamiliar projects/assignments and respond with flexibility to requests for assistance.
- Knowledge of campus building locations helpful.
