This announcement will be used to fill multiple Administrative Assistant 2 positions on all campuses of Idaho State University. ISU's main campus is in Pocatello, we also have a campus in Idaho Falls, Meridian and Twin Falls.

The successful candidates will perform complex secretarial, office administration, and public relations assignments; perform related work.

Example of Duties


These positions perform high level secretarial duties. Incumbents have a major role in coordinating administrative activities which requires frequent contact with executives, the public, other agencies and government officials. This requires the incumbent to utilize effective public relations and liaison skills. Incumbents may attend meetings for the administrator to relay and collect information. Incumbents function with considerable independence and exercise discretion in applying policies and procedures. The work requires extensive knowledge of department programs and objectives. They are responsible for the research, compilation, and organization of materials for administrators' use in problem resolution.

These positions are often responsible for insuring that assignments given to other staff by the administrator are completed and timelines are met. Incumbents may supervise staff. These positions independently research, analyze, and compile information to prepare reports, handle complaints, or resolve problems; compose correspondence for supervisor on own initiative or from general instructions; format/type a variety of executive, sensitive, confidential, official and/or legal letters and documents.

Minimum Qualifications

Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.

Experience: interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements.

MQ Specialties - Some positions may require one or more of the following:

  • Good knowledge of: legal terminology; organizational awareness; teamwork; investigative procedures.
  • Some knowledge of: financial record keeping; supervisory practices; organization of electronic or print news media; state and local government organization structure.
  • Experience: in public relations; composing official correspondence, reports, research papers and other complex documents; using dictation/transcription equipment; taking minutes; transcribing tapes; providing administrative support to an administrator, director, or senior staff member; designing manual & automated record management systems; using medical codes; using Microsoft Access; using Microsoft Excel for complex data analysis; using Power Point; using HTML & Web Editing Tools/Converting Images and Text; using Publisher/Adobe Illustrator; using Microsoft Word at the advanced level. Ability to: type at the rate of 50 words per minute; 60 words per minute; operate Microsoft Word at the rate of 40 words per minute. Willingness to work in a correctional facility.
