The Administrative Assistant 2 follows established procedures and guidelines to provide timely and effective secretarial support to an office, business unit, department, or other organization. Answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. The Administrative Assistant 2 performs varied activities and moderately complex administrative/operational/customer support assignments. Performs computations. Typically works on semi-routine assignments.

Responsibilities

The Administrative Assistant works within defined parameters to identify work expectations and quality standards, but has some latitude over prioritization/timing, and works under minimal direction. Decisions are typically focus on interpretation of area/department policy and methods for completing assignments.

The Administrative Assistant 2 will be supporting the day to day business functions in for the VP and staff for Humana Medicaid in the Schaumburg, IL market office.

  • Coordinates internal and external meetings which may involve scheduling meeting times, making travel arrangements for attendees, and ensuring that various meeting amenities are available.
  • Manages the appointments and schedules of applicable staff.
  • Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion.

The Administrative Assistant 2 may also perform the following:

  • transcribes, types, formats, and proofreads a variety of material (e.g., correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using word processing, presentation, graphics and spreadsheet software.
  • Uses office equipment such as photocopiers, faxes, and printers. Additional responsibilities may include distributing incoming mail, preparing outgoing mail, filing, maintaining office supplies or other inventory.

Required Qualifications

  • Minimum 3 years working knowledge using Microsoft Office Suite such as Teams, Word, Excel, PowerPoint, Outlook
  • Adaptable with new system integration platforms, and able to troubleshoot and resolve basic technical difficulties
  • Strong organization and attention to detail
  • Capacity to maintain confidentiality
  • Develop and maintain strong professional relationships
  • Ability to balance multiple initiatives including prioritizing competing projects
  • Must be passionate about contributing to an organization focused on continuously improving consumer experiences

Workstyle: This position conisdered Hybrid Office

  • This position permits woking in the office 2 to 3 days weekly and remote work at home remaining week.
  • Flexibility to select remote work vs. office work will be determined by business need.

Schedule: 8:00 AM to 5:00 PM Central Time, business needs may dictate during peak business needs

Preferred Qualifications

  • Associates or Bachelor's Degree
  • Proficient in Slack, Zoom, WebEx and Yammer
  • Intermediate or Advanced use of Microsoft Excel and Access

Current or former experience as an Administrative Assistant which may include any of the following experience:

  • Managing reimbursements for travel, office supplies,
  • Scheduling meetings, luncheons & travel arrangements
  • organizing Outlook emails filing and some basic responses
  • Internet research and proof-reading/editing

Covid Requirement Policy

Humana and its subsidiaries require vaccinated associates who work outside of their home to submit proof of vaccination, including COVID-19 boosters. This position will require proof of Covid-19 vaccination upon offer acceptance during the background screening process and prior to the start date.

Interview Format

  • As part of our hiring process, we will be using an exciting interviewing technology provided by Modern Hire, a third-party vendor. This technology provides our team of recruiters and hiring managers an enhanced method for decision-making.
  • If you are selected to move forward from your application prescreen, you will receive correspondence inviting you to participate in a pre-recorded Voice Interview and/or an SMS Text Messaging interview. If participating in a pre-recorded interview, you will respond to a set of interview questions via your phone. You should anticipate this interview to take approximately 10-15 minutes.
  • If participating in a SMS Text interview, you will be asked a series of questions to which you will be using your cell phone to answer the questions provided. Expect this type of interview to last anywhere from 5- 10 minutes. Your recorded interview(s) via text and/or pre-recorded voice will be reviewed and you will subsequently be informed if you will be moving forward to next round of interviews.
