Administrative Assistant Job at US Cotton
MAJOR RESPONSIBILITY
 Provides effective and efficient administrative services to CEO, Plant Manager, Assistant Plant Manager, Quality Manager, HR Manager and Maintenance Manager.
 SPECIFIC RESPONSIBILITIES
 Order office supplies
 Receive and stock supply orders
 Prepare expense reports
 Monitor front desk for visitors
 Distribute mail
 Answer phones
 Maintain and pay bills for postage meter, alarm, Chamber, newspaper
 Prepare holiday schedule for following year
 Prepare 24/7 crew calendar for RR/CLE/BEL
 Purchase Thanksgiving gift cards
 Update business licenses
 Order calendars
 Maintain phone lists
 Assistant Quality Manager with audit report templates, etc.
 Maintain plant petty cash
 Prepare and send UPS packages
 Maintain spreadsheet for paper and freight invoices
 Prepare previous year's documents for archive
 Setup and receive PO's for office, production and maintenance 
 Prepare and email Supply stick inventory spreadsheet
 Create dispo for weekly production for Supply RR and CLE
 Create truck shipment POs
 Prepare analysis sheets for lab tests 
 Maintain production bend log
 Code invoices for HR
 Maintain and submit weekly temporary labor numbers
 Other administrative tasks as directed
 Other duties as assigned
 RELATIONSHIPS
 Internal: Department heads, managers, supervisors, hourly, and salaried employees.
 External: Written, telephone and personal contacts with various outside organizations.
 MANPOWER SPECIFICATION
 Indicate qualifications necessary for an individual to fully satisfy position.
 EDUCATION
 Two year's college or the equivalent.
 EXPERIENCE
 Four year's minimum administrative experience in business environment.
 SKILL
 Typing, statistical and must have strong communication skills, both orally and written. Ability to relate to all levels of the internal organization as well as outside contacts.
 SPECIALIZED KNOWLEDGE
 Familiarization with Word Processing and MS Office including the Internet. General business and personnel functions.
 OTHER
 Ability to manage responsibilities with minimum supervision
