Pay

  • USD 36,000- USD 46,000/ year depending on the experience (please review!)

Work Schedule

  • Monday – Thursday at 7:00 am– 5:00 pm
  • Friday 7:00 am – 4:00 pm

Responsibilities
The Administrative Assistant is responsible for processing invoices with purchase orders. Invoices are matched to statements and must be done in a timely manner. Responsibilities also include partnering with Project Managers on purchase orders and/or costs. In addition, contacting vendors for pricing that is not matching purchase orders, following indexing of all invoices and statements. Customer Service is also key as the Administrative Assistant greets all employees and guests when entering the front entrance. Below are the essential duties and responsibilities of this role:

  • Entering Invoices in a timely manner.
  • Check statements to match invoices for payments.
  • Partner with Project Managers when matching invoices with Purchase Orders.
  • Locate missing Purchase Orders.
  • Contact vendors with questions and/or differences in pricing from Purchase Order Invoice.
  • Provide Administrative support to Owners, Project Managers, and other management as needed.
  • Provide accurate reporting in an efficient manner.
  • Be available to usher candidates to their interview location with Human Resources.
  • Provide excellent customer service and reflect positive professionalism at all times.
  • Other assignments, projects, and duties may be required

Job requirements

  • High School Diploma or General Education Development Diploma
  • Ability to pass a drug screening
  • Ability to pass a background check
  • Knowledge of Accounts Payable
  • 3 years’ experience with Customer Service or Administrative responsibilities preferred
  • Efficient Data Entry experience
