Manhattanville College is seeking an Administrative Assistant to work with multiple academic divisions within the School of Arts and Sciences, including Natural Science, Mathematics, and Computing and Social Science and Communication. The position reports to multiple division chairs.
Essential Duties and Responsibilities
· Assist Chairs with day to day operations of academic divisions and provide general office support.
· Work with Chairs to process invoices, process check requisitions, and place orders.
· Support Chairs with tasks related to hiring and scheduling adjunct faculty.
· Assist with course scheduling and annual update of academic catalog.
· Collect and organize syllabi from full-time and adjunct faculty.
· Coordinate and post faculty office hours.
· Take and maintain minutes for divisional meetings and maintain other divisional records.
· Maintain division Blackboard website with relevant information.
· Provide administrative support for divisional participation in Admissions events.
· Communicate with Admissions counselors regarding divisions’ academic programs.
· Maintain up-to-date files on majors/minors/alumni.
· Hire and schedule student employees.
· Organize field trip logistics.
· Assist with room reservations for students and faculty.
· Assist with providing access to labs to adjuncts.
· Organize Chairs’ schedules for requested meetings with adjuncts, faculty, and students on Outlook.
· Other duties assigned from time to time.

· Demonstrated knowledge of Microsoft Office software (Word, Excel, Outlook and Calendar, etc.), Colleague, and Google apps
· Comfort working independently
· High degree of judgement in handling sensitive and confidential information
· Strong proofreading, problem solving, conflict management and math skills
· Flexibility and an ability to multi-task
· An understanding of higher education organizations and administrative procedures, communication practices
Required Qualifications
Bachelor’s Degree or equivalent and three (3) years of applicable administrative experience.

Pay: $40,000.00 - $43,000.00 per year
