Description

This Administrative Assistant III will provide administrative support work to Park Maintenance Operations staff in the Southern Region Parks Division. The candidate should possess excellent communication skills, organization, time management, and proficiency in Microsoft Office, both web and desktop app-based (OneDrive, Word, and Excel). The candidate should also possess a strong work ethic, be self-motivated, take the initiative, be detail-oriented, be a team player, balance multiple requests, and meet deadlines for various work programs. Generally, the park program hours of operation are from 6 am – 2:45 pm, Monday through Friday. This is a full-performance administrative office support position. The work location may be Watkins Park (Upper Marlboro, MD) or the Bock Road Maintenance Yard (Ft. Washington, MD.

The hiring range for this position will be $42,133 – $58,377 (with growth potential to the top of the grade, currently $74,621), based on the candidate’s qualifications and experience.

  • Confidentially handle sensitive information.
  • Prepare purchasing transactions in Lawson
  • Maintain vendor files.
  • Maintain Purchase Order ledger.
  • Review and close out Purchase Orders on Encumbrance Report.
  • Compare invoices to orders to make sure all is received.
  • Distribute, review, and submit approved invoices for payment to accounts payable.
  • Assist with the preparation and maintenance of the Spending Plan for Fiscal Year
  • Prepare NEOGOV transactions
  • Prepare all materials and data for vacant position interviews
  • Ensure the operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Write letters and emails on behalf of other employees.
  • Carry out administrative duties such as, filing, typing, copying, scanning, etc.
  • Answer phones.
  • Attend meetings.
  • Interact with the public and provide courteous customer service.
  • Distribution of mail daily.
  • Fingerprint.
  • Order office supplies.
  • Maintain confidential personnel files
  • Maintain Organizational Chart.
  • Maintain Personnel Complement.
  • Maintain Vacancy Report.
  • May act as Division Benefits Coordinator.
  • May act as Division HR Coordinator.
  • Prepare Check Requests in Online Accounting.
  • Receive some deliveries for purchases (others are received in Stock Room).
  • Solicit vendors that pertain to the office area for needed items or services.
  • Maintain office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expedition orders for supplies; verify receipt of supplies.
  • Ensure operations of office equipment by completing preventive maintenance requirement; calling for repairs; maintaining equipment inventories; evaluation new equipment and techniques.
  • Assist with training, development, supervision of the performance of Seasonal Intermittent administrative staff
  • Preparation/review of Performance Evaluation Forms (Full-time and Seasonal)
  • Preparation of Personnel Actions Forms
  • KRONOS for Full-time and Seasonal Intermittent
  • Maintain Evaluation and Counseling schedule for each Manager.

Minimum Qualifications

1. High school diploma or a Certificate of General Educational Development (GED).
2. Four (4) years of progressively responsible experience that includes at least two (2) years in administrative and clerical support work and at least one (1) year of technical support experience in the administrative management areas of the specific position to be filled.
3. An equivalent combination of education and experience may be substituted, which together total 4 years.
