Position Overview
The Agency Operations Manager is responsible for the coordination and delivery of new business proposals.
The candidate reports to the Senior Director, Agency Operations and also interfaces with the Managing Partners (as required) and the BGB Senior Leadership Team. The Agency Operations Manager uses disciplined project management methodologies and practices during all phases of work and has a strong understanding of the core agency processes that impact the ability to plan and deliver a proposal. Specific responsibilities include:
- Identifies and surveys stakeholders to determine project scope and requirements
- Schedules key stakeholder meetings and responsible for recapping next steps
- Partners with team leads on each new business opportunity
- Responsible for keeping team leads focused on goals, milestones, and tracks progress of deliverables
- Facilitates collaboration and communication across project teams
- Follows up as needed to ensure timeliness of deliverables
- Seeks information from all available sources to understand what needs to be done and begins to think through how it pulls together
- Understands project lifecycle and New Business process and ensures that is accurately represented in project plan
- Ensures that projects are properly coordinated through development and execution.
- Develops and maintains a project plan, including goals and objectives, budget, deliverable (if warranted), success criteria, quality assurance, and risk management
- Defines, tracks, evaluates, and resolves issues and project scope changes. Monitors project risks and formulates contingency plans to minimize negative business impact. Completes regular project assessments and takes corrective action when needed
- Ensures quality gates are established and tracked against quality metrics. Ensures deliverable reviews are conducted and approvals received
- Effectively utilizes project staff through organization planning and resourcing appropriate agency resources as required. If using outside vendors, ensures that the appropriate processes are followed to procure goods and services. Identifies resources, hardware, and software required
- Ensures timely and appropriate generation, collection, dissemination, storage, and ultimate disposition of project information
- Develops and manages project communication plan. Performs regularly scheduled project communication, including
- Manages CRM database such as Salesforce
Preferred Qualifications
- 3-5 years of experience in Project Management, Operations or a related field
- Ability to juggle multiple projects simultaneously, prioritize tasks, and execute against firm deadlines
- Strong organizational skills and high-level attention to detail
- Excellent written and verbal communication skills
- Comfortable with working in a fast-paced environment
- Solution oriented and proactive thinker
Salary range: $60,000 - $90,000
The salary range provided represents what a potential hire may expect to earn in this role at BGB. Actual salary decisions will be influenced by several factors that we use to determine overall fit, including experience (both direct and indirect), education, training, demonstrated qualifications, and organizational need. Salary is only one component of the total rewards package offered at BGB Group.
