Introduction

CTSI is pleased to offer a sign-on bonus for this position of $1000. The selected applicant shall receive one-half the incentive in the first paycheck and the second half after successful completion of 6 (six) consecutive months of employment provided the employee remains employed. The Sign-on Incentive is not part of the base salary calculation and is considered taxable income. The Sign-on Incentive is not included in retirement salary calculations. A full copy of the incentive policy is available upon request.


The Area Office Supervisor oversees daily operations and provides support to all programs housed within the Tribal office. This position provides leadership and guidance to program staff and coordinates a sense of community within the office for staff, Tribal members and clients.

Requirements

Bachelor’s degree and two years of supervisory experience in a service oriented office setting – OR -an equivalent combination of education and/or experience. Knowledge of: The tribal community and local resources, and possess ability to work with tribal members and families. Computers, applications, and office equipment. Including MS Office (i.e. word processing, spreadsheets, and data base management) and other applications, preferred. Ability to: Speak to large and small groups and to facilitate meetings with staff and community. Work and communicate effectively with staff, clients, community members, and Tribal administration. Show initiative, discretion, resourcefulness and tact in obtaining, communicating and coordinating information. Other: Must possess a valid State driver’s license, insurance and be eligible to drive a GSA Vehicle.

Duties:


After the six-month probation the employee will be evaluated of his/her performance and at that time, it will be, decided if the employee is entitled to a regular employee status.

Assist tribal administration by planning, organizing, assigning, and monitoring day-to-day coordination of the Area Office. Assistance includes training of and coordination with office employees to provide efficient functioning within established procedures and guidelines. Requires confidentiality, judgment, and initiative. Supervise local staff, coordinates office schedules to maintain coverage, and provides day-to-day support for office staff. Exercises sound independent judgment within area of responsibility. Resolves problems, which may arise relating to office functions and various program staff. Responsible for general office functions including signing time sheets, purchase orders, check request. Maintains good relationships with vendors and account representatives, oversees initiating steps in procurement processes including finding new contracts for services (when needed). Oversee preparation and distribution of the Area Office newsletter. Establish and maintain highly effective working relationships and communication with the Social Services, Education, Culture, Community Health, Elders, Alcohol and Drug, IS, Self Sufficiency Program, Fleet, and Head Start program managers to assure quality program guidance. Assist and consult with Tribal program managers on the implementation of employee development plans and employee evaluations, etc. Act as liaison for tribal administration between offices and other programs. Speak to large and small community groups from both internal and external programs and agencies. Serve on local, City, County, and CTSI committees or meetings with Chief Executive Officer Approval. Assist with the negotiations for building lease, office equipment. Assist tribal members and program clients in receiving services by making referrals to the appropriate programs. Assist other programs with day to day duties and projects. Organizes and assigns work to office personnel and monitors work flow to see that deadlines are met. Plan, coordinate and oversee tribal/community meetings, dinners, etc. Coordinate use of tribal vehicles for staff by maintaining a sign-out log and schedule of vehicle use. Maintain Area Office fleet of vehicles by ensuring regular maintenance schedule is completed, safety equipment is stocked, and in the event of an accident, damage is repaired promptly following CTSI bid process. Provide input on program planning and budgeting. Develop and monitor annual area office budgets. Coordinate with staff and program managers for approvals of leave, and travel authorizations. Acts as or appoints a safety committee liaison for office and staff. Assures that the office setting is a safe work environment, and communicates with staff to complete accident forms in the event an accident occurs. Maintains keys and accountability of area office keys, security/access badges, and alarm system accounts. Coordinates the excess of surplus property with the Purchasing Technician. Provides coaching, discipline, and termination of employees if needed. Facilitate cultural arts classes for tribal members. Provides technical support when IS team is not available, including but not limited to training or providing information to staff on MS office suite techniques, be familiar with CTSI database and software to assist staff when requested. Other duties and special projects that may be assigned.

Conditions of Employment
