KenCrest is seeking an Assistant Chief of Staff to join our dynamic executive team. This position is a critical partner to the Chief of Staff in managing the operations of the President & CEO offices, execution of agency strategic initiatives, and is responsible for the overall management of the corporate office’s front desk activities.

The Assistant Chief of Staff (ACOS) is a trusted counsel to the Chief of Staff who will interface with key stakeholders such as C-level staff, board members, program staff, vendors, and partners, to provide guidance and operational support for agency wide strategic initiatives. The ACOS supports the Board’s effectiveness by overseeing all document management, meeting scheduling and support to the Presidents of all Boards. This position uses data to influence decision-making, has excellent problem solving skills, and is resourceful in pushing progress forward. Also, responsible for evaluating and improving office efficiencies by planning and implementing office systems and workflow processes. This work requires the exercise of considerable independent judgment and the ability to maintain confidentiality while competently and independently managing a workload that may include competing demands and challenging deadlines.

This role is an in-office position, Monday through Friday 8:30am – 5pm; with flexibility for projects and events as needed.

Some Essential Functions of Position:
  • Project lead on the Agency Survey Team to work with programs and departments to create, administer, and analyze surveys.
  • Support the Chief of Staff in assisting the President & CEO with agency wide initiatives, strategic planning, and special projects as needed.
  • Plans, coordinates, and manages the content for leadership meetings, team meetings, and off-sites events such as the annual Board/Leadership retreat.
  • Provide ad-hoc support on projects small to large; this could include internal initiatives, presentations, and project plans.
  • Support President & CEO Office by generating reports, presentations, etc. to Centers & Services Board members, Agency leadership, and external stakeholders as needed
  • Leads the creation of the weekly Town Hall presentation, ensuring all necessary agency wide information is included.
  • Supports the Chief of Staff in the production of communiques, Board packets, monthly reports, and other missives necessary to inform and direct the KenCrest Boards of Directors.
  • Supports Board committees with schedules, commentaries, agendas and minutes.
  • Responsible for the recruiting, selecting, orienting, and training of the front office support staff.
  • Supervise front office support staff through coaching, counseling, and disciplining employees; planning, monitoring, and appraising job performance.
  • Assures that the building security protocols are in place and operating properly.
  • Assess and develop efficient workflow systems for the front office. Problem-solve issues and concerns and work with all parties to find solutions.
  • Coordinate with IT and Finance departments on purchase, installation, and maintenance of all office equipment, such as copiers, phones, postage machines, etc.
  • Make travel arrangements and reservations for executive management as needed
  • Prepares expense vouchers, invoices, and reconciliation of agency credit card for executive management as needed.
Minimum Qualifications:
  • Bachelor's degree required plus 3-5 years’ experience as an executive assistant supporting C-level executives. Prior supervisory responsibility highly preferred
  • Valid Driver’s license required
  • Demonstrated experience planning and organizing high-level meetings as well as experience with working with Board of Directors
  • Ability to juggle multiple priorities and shift priorities easily
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Meticulous attention to detail with few to no errors, able to independently and proactively correct the few errors that do occur
  • Excellent interpersonal, written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in MS Office tools
