Assistant to the Dean Job at State of South Carolina
Reporting to the Dean of the College of Arts & Sciences (CAS), the Assistant to the Dean provides confidential and strategic administrative support; coordinates meetings and events; drafts CAS program collateral; compiles spreadsheets and manages records; provides general office reception; and drafts routine correspondence.
Serves as executive assistant to the Dean and liaison between the Dean and college constituents: Manages the Dean’s calendar; coordinates and makes travel arrangements; schedules and organizes meetings, including conferences and speaking engagements; prepares the agenda and minutes for CAS Advisory Council meetings; helps prepare and distribute the college’s annual report and other official correspondence from the Dean; develops and maintains filing systems; and provides input on administrative strategies for achieving office and CAS goals, all while exercising professionalism and discretion on highly confidential matters.
Serves as office and database manager: Greets and assists visitors and manages calls; manages space reservations; orders and maintains office equipment; procures supplies and printed materials; receives and distributes incoming mail (hard copy and electronic) and performs other routine office support tasks; answers questions from students, faculty and others about college policies and procedures; develops working knowledge of the college’s electronic and audio/visual equipment; and works with departments to review reports and responses as questions arise.
Provides support for special projects and institutional and community events by managing scheduling, promotions and program collateral, communication to attendees, and equipment setup.
Prepares agendas and distributes materials for CAS governance bodies; maintains records of governance and curriculum actions; and maintains faculty committee roster and helps coordinate reappointment cycles. Assists with training and support for new CAS admlns and department chairs. Serves as back up for procurement and personnel processes. Serves as building manager for Kinard Hall: Enters work requests; checks building regularly for needed repairs and instructional upgrades; and monitors/updates bulletin boards and other signage.
Bachelor’s degree and two years of responsible administrative experience; associate’s degree and four years of responsible administrative experience; or high school diploma and six years of high-level administrative experience. Proficiency with Microsoft Office 365, especially Excel and Outlook.
Knowledge of office management policies, best practices and procedures. Ability to create and maintain spreadsheets and electronic records; communicate effectively orally and in writing; exercise discretion and interpret institutional policies; handle sensitive and confidential information; work independently while effectively organizing and coordinating a variety of information in a fast-paced office environment; and establish and maintain effective working relationships with faculty, staff, students, and the general public. Ability to understand higher education policies and procedures; prioritize tasks; work independently; and support events and special projects as requested by the Dean.
