Job Summary
The Communications Manager will direct and coordinate marketing activities and policies to promote program services to recruit both clients and volunteers, working with a variety of resources both internally and externally. This position will identify and develop a marketing strategy to meet non-profit program objectives. The Communications Manager will prepare and submit federal, state, and local grant applications and renewals to obtain funding. Responsible for the oversight of the recruitment and retention of volunteers and the proper background checks for all volunteers. The Communications Manager is responsible for the oversight of the Meals on Wheels and Seniors at Lunch programs.
Essential Duties and Responsibilities
- Seeks out and completes grant applications from corporations and foundations.
- Prepares and submits federal, state, and local grant applications and renewals to obtain funding for the Brevard Senior Nutrition Program.
- Works closely with the finance department of assist in the preparation and submission of required Federal, State, and local progress and performance reports on a monthly, mid-year, and year-end basis.
- Assists with preparation of Progress and Performance Reports as required by funding sources; monthly, quarterly, mid-year, and annual reports.
- Consults with the Director of BSNP on levels of service and activities to meet grant objectives.
- Attends meetings and community activities pertaining to the Agency, performing outreach as a representative of the Agency.
- Attends and participates in the end-of-month meeting for site managers and area supervisors.
- Assists with special events (e.g., Reaching Out Program, March for Meals, and Saturday Meal deliveries).
- Assists in fundraising events as needed (e.g., Aging Matters Golf Event).
- Develops initiatives to advance volunteer recruitment, training, and retention utilizing a variety of platforms such as social media, United Way volunteer sites, and in person presentations at community meetings and health fairs.
- Community outreach to recruit clients into the Meals on Wheels and Seniors at Lunch Programs.
- Promotes all services of the Brevard Senior Nutrition Program within the Agency and in the community.
- Keeps the BSNP Director informed of difficulties or unusual circumstances occurring with respect to client/volunteer services.
- Coordinates flow of information and communication and disseminates it according to Agency plans and strategies.
- Coordinates Matter of Balance classes throughout the county, working with Senior Resource Alliance to develop diverse funding sources and ensure compliance with training and documentation.
- Develops and manages the Pets on Wheels project including recruitment of volunteers and partnering with the Central Brevard Humane Society.
- Requires use of a personal car, a valid Florida driver’s license, and automobile insurance to perform job duties.
- Responsible for all aspects of administration, operation, training, and management of the Meals on Wheels and Seniors at Lunch Programs.
- Ensures the program meets agency guidelines and policies.
- Maintains program quality by implementing annual program goals and objectives that ensure outcome-based assignments with measurable results designed to meet the needs of individuals participating in the Meals on Wheels and Seniors at Lunch programs.
- Ensures the program meets all established rules, regulations, and contractual guidelines set by the Florida Department of Elder Affairs, the Senior Resource Alliance, the Florida Department of Health, United Way of Brevard, the Brevard Board of County Commissioners, and other federal, state, and local funding sources.
- Monitors lunch sites for quality assurance and adherence to proper procedures. Evaluates the needs of the sites and works with the staff and the BSNP Director toward resolution and improvement of services.
- Directly supervises and completes annual performance evaluations for the Area Supervisors and Volunteer Coordinators.
- Oversees Site Managers who are directly supervised by Area Supervisors.
- Works in conjunction with the BSNP Director, the Senior Director of Operations, and the Director of Human Resources in selecting new employees, monitoring staff performance, and implementing performance improvement measures for staff as necessary.
- Coordinates with Area Supervisors to ensure arrangements are made for Site Substitutes, as needed, in the absence of the Seniors at Lunch Site Managers.
- Consults with the BSNP Director, the Senior Director of Operations, and the Director of Human Resources in the designing and updating of job descriptions, 90-day reviews on new employees, and annual employee evaluations.
- Mediates concerns or conflicts between staff, volunteers, or clients and resolves grievances and conflicts using the proper chain of command.
- Ensures staff receives timely training on grant and programmatic requirements. Coordinates training program and is alert for training opportunities through other agencies and initiates training as needed.
- Processes program payroll according to agency policies and procedures and submits paperwork to the Finance Department.
- Conducts the quarterly Advisory Council meeting to discuss food quality with Seniors at Lunch and Meals on Wheels program participants. Works closely with the Advisory Council and solicits their advice and assistance on matters affecting program operation.
- Plans, develops, and implements an ongoing process for the recruitment, retention, orientation, and placement of volunteers.
- Provides leadership, information, and consultation to volunteers.
- Ensures proper background screenings for volunteers who have direct contact with program clients.
- Hosts annual volunteer recognition event(s) and conducts a variety of activities throughout the year to recognize volunteers.
- Participates in public presentations to organizations about Aging Matters in Brevard and its services and assists with the coordination of special projects.

Education
- Bachelor’s degree with a concentration in social work, gerontology, marketing, communications, or a related health field required.
- Master’s degree in a related field preferred.
Experience
- Must have five years of proven grant writing experience in the area of human services.
- History of successful grant/proposal writing.
- Experience in public speaking to represent non-profit services to customers, the public, government, and other external sources.
- Experience working with the impoverished, elderly, disabled, and other disenfranchised populations.
- Must have experience working with community social service agencies and helpful to have knowledge of Department of Elder Affairs policies/procedures.
- Must be proficient with basic online tools and Microsoft Office.

Works indoors in the Agency office and working at various event venues both indoors and outdoors in the community, and in a variety of climates, especially heat.

Emergency Disaster Assistance
As part of the obligation of Aging Matters in Brevard being a lead agency serving elders, all employees, unless otherwise specified, may be required to be available prior to, during and post disaster. Assignments, as required, will be issued in accordance with directives from Senior Resource Alliance, Brevard County Government and Aging Matters in Brevard Administration.
