The role:

This role is at the center of the Virgin Unite Community team, executing all operational responsibilities, including its 10-15 related events per year.


Key responsibilities:

Core Operations

  • With support from the Virgin Unite Operations team, oversee and execute all operational needs for various Unite events including: budgeting, payments, registrations, contracts and agreements, P&L, and generally working across departments to ensure smooth delivery in the run up to and after the events.
  • Work with the Virgin Unite Safeguarding Lead to ensure safeguarding is embedded in all community events. Support the Community Managers with pre- and post- event safeguarding briefing actions where required.
  • Maintain the Community team events calendar, liaising with various internal stakeholders to manage and flag calendar constraints for planning purposes.
  • Support the Community team to track, follow up and report on impact and leverage KPIs.
  • With support from the Commercial Operations Manager, lead on the Virgin Unite Trading Company board, coordinating the board papers and presentations, ensuring actions are followed through on, and taking minutes.
  • Input into boarder Virgin Unite board papers, the annual plan, the annual report, and other critical reports and documentation for key stakeholders.
  • Ensure the internal folders are maintained in an ordered manner.
  • With guidance from the Operations team, strengthen and optimize operational processes

Community Operations Special Projects

  • Oversee the development and day-to-day management of the Virgin Unite Community portal, working with team members to maintain and expand its functionality as needed.
  • Manage the Stripe account (our primary payment processing system). Work with the Virgin IT team to ensure integrations are running smoothly with all other systems, including but not limited to Wufoo / Form Assembly, Virgin.com, and the Virgin Unite Community Portal.
  • With support from the team, lead on the digital asset management project for the Community team. Maintain the digital asset management system following community events.
  • Contribute to or lead Community-related operations projects as they arise.

For this role we need you to be/have:

  • Ability to work effectively and efficiently with multiple projects and demands simultaneously
  • Reliable, deadline driven and detail-oriented
  • Willing to roll up your sleeves and get the job done
  • A team player and good communicator
  • Very comfortable with numbers, and can manage six-figure budgets
  • Experience in project management, operations or other similar roles
  • Previously worked in a fast paced, dynamic organization is highly desirable
  • Experienced at using Salesforce and other IT applications.
  • Project management certifications a plus but not essential
