Who you are:
The Events Coordinator role is a critical position on the Exchanges Events Team, which supports the Inbound Exchanges programs. The Events Coordinator is responsible for working across inbound teams to plan and implement several annual events virtually, domestically, and internationally. Event planning will include contract research and review, event budgeting, and, and successful delivery of each event. This includes coordination with international representatives, government agencies, CIEE hosts, and other CIEE teams.
What you’ll do:
- Event planning and coordination of key logistics for multiple cooccurring annual events
- Secure accurate quotes and estimates from vendors; determine if the proposal meets organizational requirements for the event
- Act as Point of Contact for annual in-person events
- Maintain budgets, including invoice management, reporting, and entering expenses to ensure check requests/expenses are submitted in a timely manner
- Effectively coordinate and communicate with other departments to execute events
- Collaborate with marketing team members to develop and distribute all event communications materials such as invitations, RSVP lists, name tags, signage, and agendas
- Other operational tasks, as needed, to support the inbound exchanges programs
What you’ll bring:
- Bachelor's degree (or international equivalent)
- Highly developed decision-making and problem recognition
- Ability to give clear directives and use independent, rational judgment to make optimal decisions
- Strong project management skills with the ability to work organized and independently
- Ability to shift between cooccurring events & projects, as directed by supervisor
- Event planning experience
- Meticulous attention to detail in a very fast paced environment
- Ability to effectively handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature
- Strong, professional, written, and verbal communication skills
- Fast learner of new technology, systems, procedures, and policies
- Ability and desire to travel nationally and internationally for company and department event
