POSITION DESCRIPTION
The EHR Integration Specialist is responsible for the successful integration and/or implementation of Electronic Health Records (EHR), Practice Management (PM), and Revenue Cycle Management (RCM) among other systems in the merged and/or acquired entities. She/He provides clinic processes analysis, system design, configuration, testing, data reporting, as well as onsite and remote training and support to the assigned practices. Manage, organize, and integrate cross-functional information related to EHR/PM/RCM integrations/implementations and data migrations/conversion.
Collaborate in the preparation and execution of integration work plans. The EHR Integration Specialist also works from the merger and acquisitions process, through the integration, starting with the due diligence phase through post-close initiatives, setting up the practices for a seamless transition to the InnovaCare’s operations. She/He will independently coordinate project tasks maintaining internal and external communication between key areas in the organization and the acquired practice(s) assigned.
Act as the primary contact between the merged and/or acquired entities and the IT Department with respect to Clinical Informatics during the acquisition and integration process. Assure architectural directions and governance of the IT organization aligning merges/acquisitions and integrations business needs, ensuring enforcement of regulatory compliance and InnovaCare’s privacy and security policies and procedures. Sometimes may lead and facilitate the work of a cross functional team for the design and implementation as well as maintenance and support of EHR/PM/RCM and other systems and assessments. Ensure meeting goals and maintaining integration’s timeframes and budget.
The role facilitates adoption of the EHR/PM/RCM and other systems by gathering processes information, analyze it, estimating costs, preparing or collaborating in the work plans development and execution, systems design, configuration, testing, data migrations/conversion, supporting the systems and end users, knowledge transfer, and transitioning the day-to-day support to the Clinical Informatics IT Operations Team once integration is completed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Integrations and Implementations
Take ownership of EHR/PM/RCM integrations from visioning through implementation and support. Work with end-users and IT Department to install, design, configure, test, train, and manage the EHR/PM/RCM integrations and/or implementations. This includes interfacing EHR/PM/RCM with other systems and manage data conversion and migration (data mapping, extraction, conversion, migration, and validation). Implement new technologies and/or upgrade existing systems.
Analysis
Provides clinic processes analysis Perform systems analysis and assessments Conduct due diligence assessments
Support
Troubleshoots functionalities, identifies, document, and resolve technical issues that arise throughout the integration and/or implementation. Assess, integrate, and maintains multiple platforms. Identifies and document critical integration activities/issues and recommend remediations.
Training
Develop and document workflows and specific training guides. Host training opportunities for staff Provide onsite and remote training
Planning
Develop and execute tactical plans for the most optimal configuration and implementation approach for integration of EHR/PM/RCM and other systems. Execute Integration and Support Detailed Work Plans based on identified priorities. Identifies and address needs to complete tasks, track and communicate results.
Customer Service
Build, establish and promote a customer relationship management culture in all interactions with the organization’s areas. Identify and manage their expectations. Get actively involved, participate, and work closely with end-users and the Integration Team in the integration plans. Maintain an effective communication with stakeholders and provides guidance on areas of expertise.
Vendors and Financials
Work with contractors, third parties, and vendors, to perform the required projects, tasks, and activities to integrate the acquired/merged entities holding them accountable for delivery of service. Collaborate in the preparation of financial forecasts and budgets for each integration and the IT M&A and Integrations unit while proactively identifying and recommending ways to reduce integration expenses. Provide estimate costs and timeframes.
Compliance
Ensure appropriate controls are in place to meet regulatory compliance and security requirements for HIPAA and other federal and state statutes. Ensure adherence to InnovaCare’s policies and procedures.
Results
Ensure tasks are delivered on time and on budget. Stay on top of EHR/Health Informatics technology trends to assure solutions are consistent with best business practices and architecture. Contributes to team effort by meeting the assigned goals and accomplishing related results; keeping business information confidential; maintain up to date knowledge in the latest industry trends and influences, the applicable laws, regulations, and internal/external standards for the industry; ensuring a safe and healthy environment. Special projects or other responsibilities could be assigned depending on organizational needs.
EDUCATION AND EXPERIENCE
  • Bachelor’s degree or equivalent experience
  • 5+ years of proven experience in EHR/PM implementation, training, and support with a strong business acumen
  • Working knowledge on EHR/PMs consolidation/integrations, implementation, configuration, data migration, and training, to support the successful adoption of EHR/PM software
  • General understanding of medical terminology and clinical workflow
  • Experience in a work environment that is geographically distributed is highly preferred
  • Proven experience leading positive change, fostering effective technology and operational practices culture.

  • Communication Skills:
    • Excellent communication skills including the ability to present ideas and solutions to non-technical audience and listen effectively to understand user needs
    • Bilingual (Spanish/ English) verbal and written expression of ideas that ensures understanding by others is preferred.
