RMA is seeking a full-time Third Party REI Coordinator to join our growing team in San Francisco, CA. Scheduled hours are Monday to Friday from 8:00 AM - 4:30 PM. This position works closely with the Third Party team clinicians to facilitate the planning and implementation of patient care through administrative and clerical processes, with a special focus on intake, screening and coordination of oocyte donors, gestational carriers, and intended parents. In addition, this position enhances the effectiveness of the team performance by providing information management support; by implementing administrative systems and procedures and by monitoring ongoing projects. This position works with a dynamic team, and will be well-oriented to the role and expectations, but on a daily basis will be provided with minimal instruction or direction. The ideal candidate will be detail oriented, excellent at time-sensitive communication and be able to effectively work independently and on a team.

Job Responsibilities:

  • Welcome patients on the telephone; answer inquiries, and convert intended parent (IP)/ Gestational Carrier (GC) inquiries into appointments.
  • Oversee preliminary screening of donors.
  • Maintain gestational carrier pipeline.
  • Maintain FDA compliance by preparing FDA charts/Donor eligibility determination and obtain sign off by RN/MD, filing charts accordingly, coordinating routine meetings for FDA chart audit by Third Party team, and assisting with preparation for FDA inspections on an as needed basis.
  • Assist with coordination of Third Party team meetings.
  • Facilitate communication with Donor oocyte and GC agencies- ensure communication flows between all constituents in an accurate and timely fashion.
  • Create donor and carrier profile from agency for presentation to Third Party RNs and MDs for approval/coordination of cycle.
  • Assign and track completion of patient consents through DocuSign.
  • Report to work on time, as scheduled and on a consistent basis.
  • Assist in the orientation/training of new team members.
  • Consistently work in a positive and cooperative manner.
  • Assist other team members in the performance of their assignments.
  • Recognize the need for variations in staffing and volunteer to fill open shifts.
  • Demonstrate flexibility to perform duties wherever volume deems it necessary within the Practice

Skills/Requirements:

  • Bachelor degree in a science or health related field. Infertility experience preferred
  • Infertility experience preferred, specifically in the area of third party reproduction
  • Prior supervisory experience preferred
  • Proven ability to access, input, and retrieve information from a computer is required.
  • High level of listening skills. Ability to communicate accurately and concisely.
  • Aptitude to work independently and demonstrate good judgment.
  • Knowledge of office procedure and office machines (i.e. computer, fax, copier, etc.).
