We are currently seeking an Executive Assistant to provide administrative support and manage a variety of special projects in support of the CEO of MassMutual Puerto Rico.

Job Summary
This full-time, 100% in-office role serves as the primary point of contact for the CEO. The most important function of the Executive Assistant is the ability to keep the CEO organized, informed, and prepared for all meetings and engagements.
This role requires an experienced administrative professional who is looking to continue to grow in a career with a successful company while adding value and making an impact. Exceptional project management and bi-lingual verbal and written communication skills are a must. This is an extremely high-profile job requiring a highly conscientious, dedicated individual with strong adaptability, organization, technology, and people skills.
Job Responsibilities:
Maintain CEO’s calendar, including business development activities, training events, candidate interviews, speaking engagements, corporate events, client appointments, social events, and luncheons, and prioritizing the most sensitive matters.
Compose and prepare correspondence; monitor and respond to emails; schedule and coordinate meetings; and make facility arrangements.
Organize and translate communications, newsletters and other communication needs for the firm.
Manage a variety of special projects.
Review and properly distribute incoming mail daily.
Answer and screen phone calls, inquiries and requests in a polite, professional manner and handle appropriately.
Organize meetings, including scheduling, sending reminders, and organizing catering when necessary.
Arrange events, including managing guest lists and serve as point of contact for issues.
Welcome visitors, identifying the purpose of their visit before directing them accordingly.
Ensure conference room is prepared for in-house meetings (technology, materials, and food/beverage).
Arrange travel accommodations including booking hotel, rental car, and dining reservations.
Perform a variety of other standard administrative duties as assigned.
Required Qualifications
- Minimum of five (5) years’ experience providing executive support in a fast-paced dynamic environment.
- High level of professional bi-lingual communication skills; ability to facilitate and translate clear communications (email, memos, letters, reports) using good command of the English and Spanish languages, grammar, and style.
- Excellent organizational skills and ability to manage multiple activities with excellent attention to detail.
- Able to apply effective interpersonal skills to provide excellent customer service.
- Able to maintain calm under pressure and demonstrates adaptability during times of change or ambiguity.
- Able to maintain a high degree of diplomacy and discretion in working with confidential information.
- Skill to proactively anticipate needs and prioritize incoming issues, requests, and inquiries, including those of a sensitive or confidential nature.
- High level proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Microsoft Teams and Zoom; ability to quickly adapt to new technology and easily acquire new technical skills.
- Confident and proactive leader.
Qualifications Preferred
- Experience in the financial services industry
- PMP Certification
- Bachelor’s degree
