Position Summary:
Provides executive support to the Senior Vice President, Government Relations, Vice President, Legislative Affairs, the Legislative Affairs Team, and others in GR Department. Maintain knowledge of GR department work priorities. Coordinate, organize and arrange SVP and VP schedules to accommodate for rapidly changing priorities.
Essential Duties and Responsibilities:
- Provides executive level support and handles confidential matters for the Senior Vice President, Vice President, Legislative Affairs team and others in GR Department.
- Manages, organizes and coordinates SVP and VP office schedule to allow for rapidly changing priorities. Maintain current information on contacts.
- Coordinates travel arrangements for the SVP, VP and Legislative Affairs team utilizing Cliqbook travel system and Travel Tracker.
- Process expense reports, and balance monthly credit card statements for the SVP, VP and Legislative Affairs team.
- Coordinates aspects of new employee set up, staff transfers and moves to ensure a smooth transition.
- Practical experience in applying customer service and customer satisfaction skills.
- Drafts and prepares correspondence for SVP’s signature.
- Arranges hiring of temporary staff to cover administrative needs as required; oversees temporary hire, providing necessary training and guidance.
- Reviews and prioritizes SVP’s mail, resolving or redirecting issues to the appropriate staff person. Follows up on issues that are reassigned to ensure that all matters are resolved.
- Creates and maintain files of correspondence, reports and historical data as needed by the SVP – both physical and digital.
- Assists in the preparation of information and materials for SVP for the Annual and Regional Meetings. Provides support for the Legislative Conference – attending and providing administrative support as needed.
- Responsible for the quarterly filing of the Lobbying Disclosure Act reports.
- Plans and coordinates GR Department meetings and events.
- Plans and coordinates Legislative Affairs team meetings.
- As requested, develops draft presentations, edits and refines PowerPoint presentations and handouts for meetings and assembles materials to be distributed for the meetings.
- Assists the CEO office as needed with administrative support.
- Organizes and coordinates department wide meetings and strategic planning meetings to include logistics and catering.
- Support the maintenance of key listservs, including RESMA, G&T Managers, lobbyists, grassroots, etc.
- Communicates with other departments to maintain positive internal relations, and to obtain needed information and support.
- Maintains schedule of administrative responsibilities of SVP and the department, including personnel reviews, staff meetings.
- Maintains knowledge of GR department work priorities.
- Order and maintain office supplies and equipment.
- Coordinate and manage the GR department annual subscription budget
- Serve as floor monitor in emergencies and attend floor monitor trainings.
- Main point of contact for GR for new Financial, Accounting and HR system

Qualifications
Formal Education Required:
Associate's degree or 18 months equivalent technical training and experience, Bachelor’s degree preferred
Experience and Certifications Required:
5+ years office support experience
Practical experience in applying customer service and customer satisfaction skills.

- Ability to use Microsoft 365 tools (Excel, Word, Outlook, Power Point, Teams, Publisher) in the day-to-day essential duties of the job.
- Ability to operate various office equipment such as personal computer, copier, printer, fax machine or other job-related equipment.
- Ability to provide service excellence by building relationships, being resourceful, responsive and respectful.
