WHAT YOU’LL DO
- Provide support to the COO with a high level of professionalism and in a manner that reflects positively on the organization.
- Provide strategic, full-service executive support to the COO including managing a complex, ever-changing calendar; arranging frequent multi-city travel, and preparing expense reports.
- Act as a priority setter for meeting requests while minimizing the COO’s day-to-day distractions.
- Work with the COO to create an ‘ideal work week’ and adjust the calendar according to shifting priorities.
- Make recommendations for the COO regarding their time management, prioritization, delegation, and organization.
- Screen incoming inquiries; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine inquiries to the appropriate staff.
- Attend meetings, keep time, record minutes, and track action items.
- Facilitate communication with team members for soliciting feedback, providing critical updates, anticipating questions, and organizing priorities.
- Prepare presentations, agendas, reports, special projects, and other documents to support the organization's objectives.
- Conserve the Executive's time by reading, researching, collecting, and analyzing necessary information.
- Draft and prepare correspondence for internal announcements, department newsletters, meetings, and events the COO is involved with.
- Manage the Executive's contacts, creating a system for tracking contacts across various geographic locations.
- Plan all logistics for corporate events, company offsites, and team-building functions; travel as needed.
- Prepare and track documents for Executives’ signatures and maintain an organized filing system.
- Provide leverage to the COO by assisting with personal tasks such as scheduling medical appointments, external Board meetings, and social events; corresponding with their Accountant to ensure they have the information they need to file annual taxes; and coordinating with personal vendors.
- Bachelor's degree required or equivalent experience is preferred.
- 5+ years of related experience is required in an Executive Assistant role supporting external-facing, C-Level executives.
- Ability to travel domestically for company offistes twice a quarter (10-15%)
- Current or previous experience working in hyper-growth, fast-paced environment
- Advanced Proficiency in Microsoft Office 365 (Word, Excel, and PowerPoint), Zoom, and SmartSheets.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Flexible hours as dictated by the needs of business for projects and meetings.
- Demonstrate experience utilizing interpersonal and collaborative skills.
- Comfortable working autonomously.
- Team player: has team-oriented experience and approach.
- Service focus: dedicated to meeting the expectations of the COO and other senior executives by maintaining effective relationships with interested parties.
