Jacksonville Orthopaedic Institute is in search of a
Front Desk Supervisor to work at the San Marco clinic on San Marco Blvd.
This position is full-time with benefits including medical, dental, vision, life, disability insurance, and a 401K retirement plan.
The Front Office Supervisor plays a key role in the financial success of the organization in regard to assuring access for patient care and managing front office staff to maintain the integrity of data. This position supports the work of the clinic in improving patient satisfaction and complaint resolution. This office sees 250 - 300 patients each day.
Must be available to work Monday through Friday as early as 7:15 a.m. and as late as 6pm.
Position Responsibilities:
- Oversee day-to-day operations of the front desk and registration.
- Mentor, supervise and communicate effectively with front office staff members.
- Troubleshoot issues for providers and front office staff.
- Hire and onboard new front office staff members.
- Promotes departmental partnerships and positive morale.
- Create new patient accounts as needed.
- Prepare staff schedules according to patient volume and prevent overtime.
- Manage the office supplies ordering and inventory.
- Oversee daily deposits and petty cash drawer.
- Provide coverage to front desk coverage when needed.
- Adhere to the policies and procedure manual and JOI Employee Handbook.
- Identify opportunities to continuously enhance the efficiency and improvement of front office and collections protocols in the clinic setting.
- Audit front office work daily for accuracy and volume.

- Daily Deposits
- IME/ Work Comp
- Enter charges for W/C and IME no show appointments
- Scheduling/ record release/ record and prepayment forms/ reschedules/, disability forms/ MMI rating/ DWC-25 forms
- IME attorney scheduling/ invoicing/ payment/ record collections
Position Requirements
- 2 years of supervisory experience required.
- 5 years of medical office experience required.
- Must be highly motivated and organized.
- Ability to sooth disgruntled patients.
- Have the ability to manage in a fluid environment.
- High School Diploma/GED or equivalent required.
- Experience with basic desktop software, medical practice management, and electronic medical record systems.
- Have the ability to multitask with several job functions.
- Knowledge of and adherence to HIPAA and OSHA rules and regulations.
- Skilled in identifying problems, researching and recommending solutions.
- Exceptional leadership and mentoring skills.
- Superior customer service and communication skills, both verbal and written.

Physical Demands
- Requires sitting 60%, standing 10%, walking 30%.
- Requires manual dexterity sufficient to operate a keyboard, mouse and multiple telephone lines.
- It is necessary to view computer screen for long periods of time.
