Reputable company in the West Chester, Ohio area currently hiring for an HR/ Payroll Assistant.

Rate- $20-24

PRINCIPAL DUTIES & RESPONSIBILITIES

1. Timekeeping & Payroll

  • Monitors weekly approvals of timecards and assists supervisors with time card adjustments.
  • Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, job title and department transfers.
  • Accurately enters incentive pay including monthly, quarterly & annual bonuses along with prize incentives.
  • Maintains up to date knowledge of tax and other legal developments pertaining to payrolls.
  • Ensures proper funding of 401k employee and employer contributions in payroll.
  • Calculates and pays taxable fringe earnings when applicable.
  • Reviews earning and deduction code setups in HRIS for accuracy in payroll processing and year-end tax reporting.
  • Monitors the proper recording of PTO, STD, FMLA, etc hours in timecards.
  • Maintains accurate timekeeping records and HRIS setup for company paid holidays.
  • Processes and tracks garnishment and child support orders.
  • Processes adjustments to payroll and maintains accurate recordkeeping of such adjustments.
  • Calculates salary changes and retro pay.
  • Maintains and monitors timely setup of deductions and taxes.
  • Weekly processing of 401k transfer file.
  • Maintains the proper setup of taxing jurisdictions at the company and employee level.
  • Maintains accurate direct deposit information for employee bank accounts including HSA accounts.

2. HRIS Recordkeeping & Reporting

  • Acts as main point of contact for related HRIS issues.
  • Provides timekeeping reporting including overtime report and other ad hoc time reports.
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages.
  • Generates payroll reports and maintains payroll files.
  • Keeps employee files and computer records updated with current employee information, i.e. rates, W4 status & benefit status.
  • Responsible for the HRIS Checklist administration – completes employer items and ensures completion for employees.
  • Maintains accurate I-9 documentation.
  • Completes employment verification requests.
  • Ensures that personnel files are compliant with applicable legal requirements.
  • Maintains building security codes & issues new FOBs when applicable.
  • Provides analytics regarding payroll trends and expense analysis including headcount, turnover, new hire reporting etc.
  • Provides employee listings and reports as required.
  • Prepares payroll budget annually.

3. Benefits Administration

  • Verifies accuracy of monthly benefits invoices and provides to Accounting for processing
  • Calculates monthly taxable fringe benefits for payroll
  • Reconciles Profit Sharing payments on a quarterly basis
  • Prepares post-tax HRA premium reporting monthly
  • Calculates PTO accruals balances annually and as needed for new employees.
  • Responds to employee benefits questions

4. Compliance & Audit

  • Audits annual W-2 forms and distributes them to employees.
  • Administers internal Personnel File Audits.
  • Administers internal I-9 Audits.
  • Ensures accuracy of HRIS system and initiates regular audits.

5. Clerical/General Administrative

  • Respond to routine emails, phone calls, etc
  • Make copies, print documents, mail delivery, etc
  • File paperwork

Job Type: Full-time

Pay: $20.00 - $22.00 per hour
