The HR Associate/Office Coordinator will assist HR/Payroll Management in carrying out various initiatives. Additionally, this role will work with all departments on the floor and maintain local office/administrative duties, to include mail distribution, maintain office and kitchen supplies and building/suite maintenance.
It is also the responsibility of HR Associate/Office Coordinator not only to exhibit legendary customer service when communicating with tenants, prospective tenants, owners, and vendors but also to focus on productivity and results.
ESSENTIAL FUNCTIONS:
- Send offer letters and launch onboarding for prospective new team members.
- Manage pre-employment due diligence steps - background checks and drug screenings.
- Process I-9s for new hires.
- Follow the onboarding process from start to finish for new team members to confirm all tasks have been completed.
- Work with HR Business Partners and field managers to assist with onboarding.
- Maintain and ship new hire collateral.
- Process job posting requests and assist with related inquiries.
- Track terminations and process closure of accounts related to HR programs.
- Maintain organization of active and termed personnel files.
- Coordinate manager self-service process and provide system training/assistance, as needed.
- Research and answer routine questions concerning human resources issues.
- Troubleshoot and assist team members with HR systems and general inquiries.
- Kitchen, Reception and Conference Areas: Keep all areas supplied and clean, and schedule conference rooms as needed.
- Order office/kitchen equipment and supplies. Keep areas stocked with basics – track monthly spending, check arriving supplies against the order, unpack and put away supplies in the appropriate storage area.
- Maintain office/kitchen equipment. Call for service when necessary. Follow through until equipment is fixed.
- Handle maintenance contracts for the office and kitchen. Maintain files on all equipment.
- Sort and distribute incoming mail and interoffice mail daily. Date stamp incoming correspondence.
- Prepare files for storage, as needed.
- Meter mail and ensure mail is at mail drop box each afternoon before 4:00 p.m.
- Manage periodic mass mail outs requiring addressing, sorting, labeling, and stamping.
- Order FedEx supplies for main copy room.
- Submit work orders for all departments.
- Coordinate access badge setup for new hires and/or long-term visitors on 16th floor.
- Completes goals and projects in accordance with stipulated deadlines and measurements.
- Assists Transwestern executives with other projects, when requested.
- Make recommendations to streamline systems and improve processes.
POSITION REQUIREMENTS:
- A four-year college degree.
- A minimum of 1 year of administrative experience, preferably in Human Resources.
- Intermediate proficiency with Microsoft Word, Excel, and PowerPoint.
- Fluency in Spanish, preferred.
- Demonstrate strong analytical capabilities with a high attention to detail.
- Ability to handle multiple projects, changing priorities and time-sensitive, workload(s).
- Ability to provide general direction/be self-managed/work independently.
- Ability to provide efficient, timely, reliable, and courteous service to internal and external customers.
- Ability to keep information and internal communications confidential.
- Exhibit excellent verbal and written communication skills.
- Must be able to remain in a stationary position 50% or more of the time/constantly operate a computer and other office productivity machinery (ex. a calculator, copy machine, computer printer) or, by request, be provided reasonable accommodations to perform the essential functions of the position.
- Must be able to lift up to 40 lbs.
