Immigration Advisor and Office Coordinator
Job Overview
Under the leadership of the Director of International Student Programs (ISP), the Immigration Advisor and Office Coordinator will provide quality advising to F-1 visa international undergraduate students, assist with the coordination of programs and manage the administrative tasks of the ISP Office. The hours for this position are 36 hours per week, 12 months/year which is .9 full time equivalency.
Duties and Responsibilities
  • Serves as a Designated School Official (DSO) for Wheaton College undergraduate students:
    • Supports the Director of ISP in ensuring compliance with F-1 visa government regulations by maintaining accurate student records in the Student and Exchange Visitor Information System (SEVIS) and pursuing knowledge of best practices in the field of International Student and Scholar Services, including annual participation in the NAFSA Region V and IEI conferences, when possible.
    • Provides quality advising in partnership with the ISP Director to undergraduate F-1 visa students regarding visa specific requirements, benefits and applications (e.g., OPT, CPT, RCL, etc.) through appointments and Terra Dotta Site processes.
    • Issues and mails immigration documents and orientation packets to admitted F-1 visa students in collaboration with Admissions and Student Financial Services.
    • Maintains mail and e-mail correspondence with prospective, admitted, and current international (F-1 visa / MK /TCK) students on behalf of the ISP.
    • Meets and collaborates regularly with the Wheaton College DSO team, under the leadership of the PDSO, to strengthen institutional advising and compliance processes. Assists the PDSO with relevant research, as needed.
    • Coordinates ISP office programs:
    • Supports the planning, implementation, and evaluation of undergraduate International Student Orientation and Student Leader Training week including early arrival housing, meals, and Passport to Wheaton.
    • Connects international students with Wheaton College departments, resources, and community members in response to student needs.
    • Plans and co-leads, with ISP Director:
      • Annual student info sessions (e.g., F-1 visa employment, tax responsibilities, etc.)
      • Annual ISP Student Leader Spring Banquet
      • Other programs, as needed
    • Leads the logistics related to the international flag display in Anderson Commons.
  • Manages office administrative tasks:
    • Creates an inviting and professional atmosphere in partnership with Ministry and Evangelism (ME) and Student Engagement (SE) who share our office space.
    • Recruits and supervises students employed as office assistants through the Federal Work Study program.
    • Assumes responsibility for office supplies, petty cash, work orders, check requests, credit card reconciliation, room reservations, budget tracking and accounting tasks, and the creation of printed office materials.
    • Compiles and updates all annual ISP student lists to meet reporting requirements.
    • Oversees the maintenance, security and storage of ISP office and student files.
    • Edits content for ISP (Terminal Four) and Terra Dotta websites.
    • Attends weekly Student Engagement Office Coordinator meeting and collaborates on team tasks as requested.

Qualifications
  • Bachelor’s degree is required
  • U.S. citizen or permanent resident status is required in order to serve as a Designated School Official (DSO) for F-1 visa purposes – past experience as DSO preferred
  • Strong verbal, written, and computer skills (Microsoft Office)
  • Multi-tasking abilities, detail oriented and strong organizational skills
  • Personable disposition for interfacing with students, parents, and campus offices including intercultural competence when working particularly with international students and families
  • A life that honors the Lord Jesus Christ and is consonant with the Statement of Faith and Community Covenant of Wheaton College
  • U.S. driver’s license for 3+ years, preferred
Physical Requirements
The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 10 pounds.
