We are actively seeking a meticulous, well-organized, and efficient individual to join our team as a part-time Secretary, which will transpire into a full-time as the firm expands. The successful candidate will closely collaborate with a busy and highly organized lawyer, and will be responsible for carrying out administrative duties with utmost efficiency and effectiveness. This role necessitates a candidate who can effectively handle multiple tasks concurrently, prioritize tasks, adhere to law firm guidelines and policies, and remain composed under pressure.
Our firm primarily handles personal injury cases, comprising 95% of our caseload. Therefore, preferance is given to candidates who have a minimum of 2 to 3 years of experience in personal injury law. If not, we will train the right, but motivated person.
The starting salary will be commensurate with the candidate's level of experience in the market, with opportunities for growth and advancement as the firm continues to expand. We are currently seeking an exceptional and hard-working legal secretary to join our team. Our firm operates in a paperless environment, utilizing Adobe PDF extensively, as well as a cloud-based legal software called mycase.com. RESPONSIBILITIES:
1. Report to work at 9am until 2pm (part-time) or until 5pm (full-time).
2. Check voicemail and return calls.
3. Answers calls throughout the day (there some slow days and sometimes fast pace)
4. Go to the post office and pick up mail from the PO Box on weekly basis.
5. Read each mail, determine what needs to be done and take action or bring to the attorney’s attention.
6. Scan all mail individually, label and upload to respective files.
7. Call and follow-up with client lead/inquiries daily. Welcome clients for calling.
8. Intake/meetings (heavy data entry upon setting up file, fill in fields, contacts, setting up folders)
9. Set up insurance claims and follow up with clients, explain claim process.
10. Send out opening letters to insurance carriers and clients and necessary LOPs
11. Attend weekly meetings with attorney with checklist and note taking ability for instructions.
12. Contact clients every 30 to 45 days (tasks and reminders will be set up as default workflow).
13. Manage an inventory of cases.
14. Regularly request medical records and bills, review and summarize medical records dates of services and organize per firm protocol.
15. Complete rest of the checklist for demand letter and organize file along with draft the demand letter to the most final version possible.
16. Set appointments on calendar for attorney.
17. Schedule calls and appointments
18. Periodically meet clients at the office, for document signatures, etc.
19. Assist clients with applications and get them returned in a timely manner.
20. Follow up with insurance adjusters.
21. Print out and organize closing documents and upon return, scan and email and/or mail them out.
22. Prepare Complaint and discovery responses.
MUST HAVE:
A. -Must be bilingual in Spanish, hold an AA or bachelor's degree and have the motivation to learn personal injury law.
B. -Must have substantial experience and proficiency in Adobe (move and organize pages, edit, etc.) -
C. -Ability to learn a new legal software, MyCase (user friendly and we have many tutorial videos will be provided).
D. -Must be energetic, well organized and able to multi-task
E. -Strong phone/typing/computer skills a must
F. -Excellent communication skills and project confidence
G. -Must have clean criminal background
H. -Must have reliable transportation.
