What we need…

The Leave Administrator administers the Leave of Absence program, which may include Medical, Family (FMLA), Personal, Disability, and Military. The Administrator facilitates and administers and assists our vendor partners with claims; reviews, evaluates, and corrects timekeeping records for leave tracking; provides services for employees with non-work related medical conditions; works with managers on leave-related issues with their associates; and works with legal counsel and government agencies when appropriate. The Leave Administrator also administers the Tuition Reimbursement program.
Responsibilities:
Essential Duties and Responsibilities:

  • Develops and updates communication materials to enhance understanding of the leave and disability policies.
  • Maintains knowledge of company policies and procedures.
  • Updates leave and tuition reimbursement procedures manual as processes evolve
  • Ensures compliance with applicable federal and state regulations
  • Updates and maintains employee records and timecards
  • May implement and maintain leave and disability databases
  • Prepares regular leave reports and invoices by extracting data from the database and UltiPro
  • Provides customer service support to internal and external customers and vendors.
  • Coordinate leave setup, deduction and compliance reporting issues with the appropriate entities.
  • Researches and answers leave and tuition reimbursement questions via verbal and written communication
  • Uses independent judgment to resolve basic leave issues with employees and plan carriers
  • Maintains, distributes, and posts leave and tuition reimbursement information and documents as needed
  • Creates and distributes leave packets, when necessary
  • Ensures all Associates receive clear communication about procedures, deadlines, and eligibility
  • Inputs employees’ benefits selections into the HRIS (UltiPro) system
  • Scans and files information as needed
  • Other administrative duties and special projects as assigned by supervisor
Qualifications:
Minimum Qualifications

  • Basic knowledge about benefits and leave administration and applicable federal and state laws, such as ERISA, COBRA, HIPAA, FMLA, ADA, SECTION 125, Workers Compensation, Medicare, and Social Security and DOL requirements.
  • Knowledge of benefit contract language is desired
  • Experience using UltiPro
  • Familiarity with running HRIS reports (UltiPro preferred)
  • Proficient Microsoft Excel, Word and PowerPoint skills
  • Strong attention to detail, analytical and research skills
  • Effective verbal and written communication skills, ability to read, write and understand English
  • Work well with numbers, using basic math and accounting skills to produce accurate work
  • Effective team player, adaptable and flexible to changes in work load and priorities
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines
  • Must be able to work effectively in a team environment with a diverse group of people and projects
  • Ability to work effectively with minimal supervision

Education & Experience:

  • A bachelor’s degree in a related area or equivalent education, training, and experience in Employee Benefits, Human Resources, and/or Leave/Disability Administration (related experience may be considered)
  • Prior Benefits, Human Resources, and/or Leave/Disability Administration experience preferred.

For remote work, this position requires that you provide a high-speed internet connection, subject to applicable expense reimbursement requirements (if any), and a work environment free from distractions.
With very limited exceptions (medical conditions or sincerely held religious beliefs that prohibit you from getting the vaccine), one of the requirements for this job is that you be fully vaccinated against COVID-19.
