Position Summary:

The Library Assistant works with the Access and Collection Services department in the library. They will use the OCLC WorldShare Management System (WMS) to provide circulation assistance to patrons, including checking out materials and maintaining statistics. The Library Assistant will also provide limited ready reference assistance to patrons and refer complex questions to the Reference Librarians. The Library Assistant will open or close the library and may supervise the tasks of student workers.

The position checks in and maintains the library’s serial collections, including discarding, routing, and collecting statistics. They will also assist with copy cataloging of books and continuation serial titles using OCLC’s bibliographic database and assist with maintaining catalog records in OCLC WMS. This position also has the responsibility of creating and maintaining acquisitions records in OCLC WMS, ordering and receipt new material, claiming items not received, and processing invoices.

32-40 hours per week, with weekend and evening hours until 8 pm. Hours and schedule will be consistent each week, with a schedule established that meets the needs of the library and the incumbent’s availability.

  • The Library Assistant is responsible for opening and/or closing the library. This duty includes locking and unlocking doors, an inspection of the library facility and copiers, and accounting for register receipts.
  • The Library Assistant provides circulation services to patrons using the Integrated Library System to check out materials and maintain circulation statistics. The Library Assistant also provides limited ready reference assistance to patrons, including providing information regarding where materials are located and services offered. The Library Assistant appropriately refers patrons to the Reference department for complex questions.
  • The Library Assistant is responsible for assisting in the training of student workers and oversight of student performance. The Library Assistant assists the Access Services Librarian in assigning tasks to student workers. The Library Assistant supervises patron counts, book counts, shelving statistics, shelf reading, shelving of materials, and filing of loose-leaf services.
  • The Library Assistant performs clerical duties including word processing, copying, coding, data entry, and filing of loose-leaf service legal materials. The Access Services Assistant also assists librarians with Interlibrary Loan duties.
  • The Library Assistant assists the Assistant Director in maintaining the integrity of the print collection and shelving: including shelving materials, shelf reading, and shifting.
  • The Library Assistant processes library serial items and maintains serial records and statistics using our Integrated Library System.
  • The Library Assistant discards serial volumes and periodical issues on a regular basis based on instructions from publishers and library policy. The library assistant tracks these discards for statistical purposes.
  • The Library Assistant processes claims for serials that the law library has not received.
  • he Library Assistant updates and maintains the routing list of periodicals to faculty and routs items appropriately.
  • The Library Assistant maintains the inventory of the library supply closets.
  • The Library Assistant updates and maintains existing catalog records as instructed by the Collection Services department. The Library Assistant also performs some copy cataloging and may process invoices.
  • Other duties and library projects as assigned.

  • Excellent computer skills, including microcomputers, printers, and barcode readers; proficiency in Microsoft Windows, Microsoft Outlook, Microsoft Word, Microsoft Excel, and Internet usage.
  • Ability to use automated library systems.


Required Experience
  • 18 months related business/office/educational experience desired.
  • 2 years of library experience preferred.
  • Supervisory experience preferred.
