The Chemistry and Math/Physics/Astronomy (MPA) Libraries seek a service- and solution-oriented Library Assistant (LA). The LA works primarily in both library locations, with the division of time determined by the two units' librarians. The LA is a public-facing position, and the principle areas of responsibility are patron and access services and collection management. Specific responsibilities may differ between units based on each location's needs, policies, processes, and workflows. The LA works closely with other library units, including assisting with emergency staffing in other libraries within the working cluster. The LA must be flexible and dependable, as patron and staffing needs cause work to quickly change and necessitate switching between library locations on very short notice. Regular hours are Monday through Friday, 9 a.m. to 5 p.m. Regular schedules at each location are established by the heads of the libraries, in consultation with the LA, at the time of hiring and are confirmed or modified each semester.

Duties and responsibilities include but are not limited to:
Patron and access services: Assist staffing the MPA and Chemistry Libraries and coordinate coverage to ensure daily services and operations remain uninterrupted without supervisor intervention, including moving between library locations on short notice. Assist in managing circulation services and service points. Perform tasks related to the circulation of library materials and patron accounts, including troubleshooting, renewing, recalling, and placing requests on behalf of patrons. Fulfill requests using specified library systems and software, including locating, retrieving, scanning, and uploading materials. Regularly monitor the LA's work email account and other designated communication platforms (e.g. Microsoft Teams) throughout the day. Promptly respond to communications and, if appropriate, refer inquiries to other individuals or departments. Regularly monitor library systems queues and department email and other designated department communication platforms (e.g. Microsoft Teams) throughout the day to promptly complete tasks, including resource sharing requests and responding to patrons, and referring inquiries to appropriate parties. Assist student workers, address patron questions when appropriate. Promptly address questions and resolve issues for patrons by phone, email, in-person, and other appropriate means, including performing ready-reference, locating materials, accessing resources, and using library equipment. Enforce library policies and regulations regarding the use of library facilities and resources.
Collections: Maintain accurate order of library materials by organizing and assisting with ongoing stack maintenance, including re-shelving and shelf-reading. After consultation with the bibliographer, design and implement books shifts, and work with student supervisor to direct student involvement in such projects. Maintain accurate inventory of library materials. When requested by the bibliographer, direct collection inventory projects, working with student supervisor to coordinate appropriate student involvement. Regularly review and verify inventory reports and perform associated tasks following library procedures. Proactively report problems and seek resolutions with appropriate members of staff. Regularly monitor and track status of library materials, including ordered, in-process, in transit, and missing books and periodicals; follow up with appropriate individuals; and verify receipt. Identify damaged library material and process it for preservation, following established library procedures. Manage new book display: prepare new books, remove older books, and maintain a neat and orderly appearance. Manage current periodicals display: prepare new journals, maintain a neat and orderly appearance. Regularly remove older issues and, following established library procedures, prepare them for binding. Proactively identify, troubleshoot, and report bibliographic records problems, including the way in which records display in the catalog, and follow up with appropriate individuals or departments.
Proactively identify, troubleshoot, and resolve or report facilities, equipment, library systems, and technology problems to appropriate parties in a timely manner; take reasonable action in the interim to minimize impact; and follow up until the issues are resolved. At the request of the supervisor, temporarily assist with Library Specialist responsibilities to meet library operational needs, including supervising student assistants and managing course reserves services. Under the direction of supervisor, collect, record, update, verify, and analyze library statistics and produce reports, using specified programs, including Microsoft Office applications. and facilities. Submit office supply requests and check building mail room for mail. Attend all relevant library meetings at the request of the supervisor. Create clear and attractive signs, posters, and fliers for library services and facilities.

Qualifications:
Required:
High School diploma or equivalent.
2-3 years of related experience.
Academic library public services experience.
Flexibility to quickly switch library locations on very short notice.
Intermediate skills: Adobe Acrobat, Microsoft Office Word, Excel, Teams.
Ability to independently anticipate, identify, troubleshoot, and resolve issues and learn new library systems, software, technology, policies, workflows, and skills.
Demonstrated experience with Penn's online catalog, ILL systems, and ILS, including fulfillment, work orders, requests, item statuses, repository searching, and bibliographic records.
Commitment to providing patrons with the highest level of service.
Preferred:
Experience reporting facilities issues.
Experience submitting requests for office supplies.
Experience shifting library collections.
Familiarity with operations of a departmental library with a physical collection.
Experience preparing print material for binding and repair.
Experience working with and assisting student assistants.
