The Coordinator works as a meeting planner in the Conference & Event Management department of the University Guest House & Conference Center, developing client relations and working with conference groups. Interprets policies and advises clients on the application of regulations.

Responsibilities
- Develops client relations, orally and written.
- Establishes client needs, recommends site location, equipment, advertising, staffing, long and short-term goal setting, purchasing, and accounting.
- Prepares conference contracts.
- Monitors on-site progress of the conference.
- Ensures the day-to-day activities and events of the conference are on schedule and properly organized.
- Works with campus partners to ensure meeting spaces and arrangements are set up, operational, and clean for incoming conference groups.
- Maintains numerous files and records.
- Oversees daily program operations and coordinates program activities.
- Develops and implements program goals and objectives.
- Monitors program quality and effectiveness and researches improvement methods.
- Establishes program budget, monitors and approves related expenditures, and meets budget goals.
- Advises staff, students, and others regarding program policies, goals, and related technical issues. Prepares reports, financial statements, and records on program status and progress for management and outside agencies.
- Writes and edits conference and group contracts/agreements.
- May oversee others who schedule meetings, seminars, and other program-related functions.
- May assign, direct, and review the work of support staff.
- Other duties as assigned.
Minimum Qualifications
Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

Preferences
- Excellent customer service skills, strong attention to detail, and effective oral, and written communication skills.
