Key Function of Position:
To provide administrative support to local forestry staff and general administration of corporate compliance policies and procedures associated with forestry operations in the field office. Represent Campbell Global (CG) in a cooperative, friendly, and professional manner.
Summary of Duties and Responsibilities:
General Office Duties
- Greet visitors and callers, route and resolve information requests.
- Ensure outgoing / incoming mail is distributed to the correct departments / field staff. Date-stamp all incoming invoices.
- Assist and organize meetings, conferences, and telephone calls if needed.
- Assist in scheduling and coordinating CG events.
- Provide ongoing administrative support to field office personnel as needed.
- Communicate and/or distribute new or revised administrative policies/procedures to staff.
- Support implementation of new technologies and / or new software.
- Manage and maintain filing and record keeping systems.
- Welcome new field office personnel.
- Order office supplies as needed, maintain office equipment.
Contracts / Accounting
- When applicable, maintain field checking account and manage Petty Cash disbursement and reconciliation.
- Prepare and process payables and receivables.
- Prepare and process all operation agreements, including land use and sales agreements.
- Maintain contractor documentation files, collect vendor questionnaires, W-9, and verify regulatory obligations and licenses have been obtained.
- Collect and manage certificates of insurance, verifying required coverage for contracts.
- Participate in annual internal audit process.
- Work closely with Portland log accounting for problem resolution and share relevant data.
- Issue load ticket books; maintain load ticket book inventory.
- Attend in-house training/workshops; including the annual Office Administrators’ Meeting.
Miscellaneous
- Support and participate fully in the local SFI program.
- Ensure that environmental or financial risk management reporting is conducted in a timely and professional manner to the Area Manager, Forester Supervisor, and/or District Manager, and if appropriate, local Safety Coordinator.
- Respond to internal and external information requests in conjunction with management and team members.
- Actively participate within the organization to ensure all timberland management investment services meet or exceed client commitments.
- Attendance is an essential function of this position.
- Other duties / projects as assigned.
- Position is considered non-exempt based on job responsibilities.
Qualifications for Position:
- High school diploma or the equivalent, required.
- Five years’ administrative work experience.
Experience and knowledge required/preferred:
- Superior organizational skills, detail oriented, and the ability to work with a high degree of accuracy.
- Ability to manage multiple tasks and meet changing deadlines.
- Excellent problem solving and people skills – required.
- Excellent oral and written communication skills.
- Experience answering multi-line telephone system – preferred.
- Strong computer skills (Microsoft systems – Word, Excel, Outlook, required).
