Job Summary:
This position provides administrative and clerical support for the Center of Undergraduate Scholar Engagement (CUSE), which includes the Office of Undergraduate Research and Scholarship (OURS) and the Frederik Meijer Office of Fellowships. Specifically, the position
focuses on processes and structures that support the offices’ core functions of student programming, engagement, and support.

Essential Functions:
General Administrative
  • Provide support for the Director and Associate Director, including scheduling and managing of calendars, correspondence, and coordination and implementation of special projects.
  • Perform administrative work of a confidential nature for the Director, Associate Director, Program Coordinator, and Faculty Fellows.
  • Act with a high degree of independence as liaison for the CUSE as designated by the Director.
  • Perform administrative duties for multiple committees: track minutes, correspondence about meeting times and agendas, and committee membership.
  • Support the CUSE Program Coordinator in the development, coordination, and delivery of programs and services, including campus-wide events, event tabling, information sessions, and guest speakers.
  • Triage and manage in-person and online student queries and correspondence.
  • Apply intermediate knowledge of software systems to create and edit correspondence, publicity, reports, and materials for publications, for distribution to students, faculty, and the university community.
  • Maintain dynamic website and other communication platforms including social media accounts and newsletters, coordinating with the graduate assistants and others who provide content for the accounts.
  • Coordinate the recruitment, selection, training, evaluation, and supervision of student employees and their employment records.
Budget
  • Manage the CUSE finances and budget by monitoring, reconciling, tracking expenditures, creation of requisitions, Banner, OnBase, and preparing all base and endowed accounts for year-end.
  • Manage and reconcile departmental P-card purchases, process transfers, PO’s, requisitions, and reimbursement for travel.
  • Develop and coordinate disbursement procedures for grants, administering them in accordance with current GVSU standards among divisions, departments, payroll, student employment, HRO and accounting/purchasing offices for reimbursements, faculty stipends and student stipends as needed for specific programs and grants.
Student support, CUSE Grants, Fellowship applications and Student Scholar Programs
  • Coordinate with Director and Associate Director to field questions, concerns, and advise on procedural criteria for OURS/CUSE grants to students and faculty throughout the calendar year, and monitor online submissions of grant proposals, make preliminary
determination of eligibility criteria, and prepare acceptance/denial letters.
  • Coordinate and distribute necessary documentation to the various review committee members by email or via Blackboard location.
  • Track report submissions and closure of grants when all criteria are met.
  • Support student grant recipients in the travel reimbursement process.
Non-Essential Functions:
  • Serve as a member on the Student Scholars Day Committee.
  • Provide administrative support for the hiring processes for the Graduate Assistant staff.
  • Design promotional materials for center programs and initiatives.

Required Qualifications:
  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects.
  • Demonstrated experience to successfully handle multiple demands efficiently.

Preferred Qualifications:
  • Some college coursework
  • Experience in higher education

Supervision Received:
Receives minimal supervision from a designated supervisor. Much of the work is self-initiated.
Person is expected to function with considerable independence and apply appropriate policies
and procedures within the assigned area of responsibility.

Supervision Exercised:
Hire, train, schedule and coordinate the work of student employees and may act as lead worker
to PSS staff members within the department/unit/division.
