Area of expertise (Skills)
Main Duties and Responsibilities:
Reports
  • Compiles Daily, Weekly and Monthly Reports
  • Analyze statistical reports and other documentations to identify trends and implement enhancements to overall performance
  • Makes recommendations and implement new processes or procedures based on these findings
  • Works closely with technical services to ensure reports accuracy and integrity
  • Reviews data given by clients to guarantee its reliability
  • Promptly sends disputes to correct the reports provided by the client
  • Prepares and updates dashboards related to current activities, projects, KPI’s, etc.
  • Ensures accuracy of Report

Attend to interdepartmental concerns and initiatives
  • Identifies and monitors site performance indicators
  • Supports site initiatives and projects
  • Supports the implementation of organizational development tools
  • Seeks for approvals and supports Programs that enhance employee motivation and maintain a positive work environment based on excellent personnel and facility services
  • Participate on the maintenance of positive work environment
  • As directed by the Site Director, act as the site’s first or main point-of-contact for certain initiatives, projects and the like. This includes but is not limited to onsite compliance of data privacy, DRBC, etc.

Administrative Support to Manage Staff needs and deliverables
  • Hold staff meetings as needed
  • One-on-one counseling sessions
  • Ensure satisfaction by researching, resolving and documenting all support departments concerns (facilities, mission, human development requirements, etc.)
  • Ensure internal client satisfaction by researching, resolving and documenting concerns
  • Ensures company policies and procedures are applied
  • Ensure prompt and professional responses to non-operational support personnel
  • Under the direction of the Site Director, act as the OIC of the Admin and Facilities Department
  • Liaise with the administrative assistants of the executive team to handle requests and queries
  • As requested, provide ad hoc administrative and clerical support to members of the executive team

Identify needs of staff
  • Ensure necessary tools are provided for all to have quality service and achieve goals
  • Provide leadership for management initiatives to develop good communication between its members to drive performance and encourage giving of feedback to fuel performance
  • Create an optimistic environment to develop high morale to staff

Support and drive compliance among departments in the group/site
  • Coordinate and drive internal & external compliance efforts among site departments and provide feedback as needed
  • Curate and disseminate information based on external developments that may impact site operations
  • Recommend and help execute action plans as needed
  • Provide technical support to the Admin Support Manager (and managers of other support departments) in the formulation & implementation of policies & procedures impacting site operations
  • Assist the Admin Support Manager in the fulfillment of QOM-related tasks of the site
  • From time to time, direct and lead the work of support staff especially in the case of ad hoc/specialized projects/initiatives
Other Skills and Experiences (Min)
  • College degree preferred and/or at least 1-2 years of proven experience in a similar field/position
  • Strong advanced knowledge of both MS Excel and PowerPoint is required
