A Day in the Life of a Patient Access Representative

Hilo Medical Center’s Patient Access Representatives serve as the first point of contact for patients and their families. Patient Access employees work in different environments, including bedside registration in the emergency department, the Admitting office and hospital switchboard. Strong interpersonal skills and the ability to work independently are essential for success in this fast-paced environment. Team members contribute to our success in a variety of ways, including:

  • Delivering high-quality customer service and compassion while obtaining demographic and financial data from patients seeking medical services.
  • Obtaining and verifying various insurances.
  • Using various office equipment and computer programs.
  • Demonstrating effective, clear verbal and written communication skills.
  • Maintaining patient, hospital census and bed control records.
  • Answering calls at the hospital switchboard and performing patient safety code announcements.

Required Qualifications: To qualify, you must meet all of the following requirements. Please note that unless specifically indicated, the required education and experiences may not be gained concurrently. In addition, qualifying work experience is credited based on a 40-hour workweek.

Education: High school diploma or equivalent.

General Clerical Experience: Two (2) years of typing, stenographic, clerical work, cashiering, data input, customer service skills or any combination of these experiences which duties demonstrated knowledge of English grammar, spelling, arithmetic, standard office equipment; and the ability to read and understand oral and written instructions, carry out procedures in clerical work systems, speak and write simply and directly, observe differences in copy and proofread words and numbers quickly and accurately, and operate various kinds of office equipment; and ability to deal effectively with others in eliciting information and providing service.

Knowledge Of: Office practices and procedures; grammar, spelling, punctuation and work usage; use of standard office machines; techniques of interviewing others to obtain pertinent information; patient accounting operations, registration and standard intake techniques; third party payor requirements, credit and collection practices, federal regulations including COBRA, Advance Directives, Medicare, Medicaid, JCAHO, OSHA, HIPAA as they related to hospital intake and payment for services and customer service philosophies and practices.

Ability To: Make arithmetic computations; compare names and numbers rapidly and accurately; type at the rate of 40 net words per minute and be knowledgeable in a windows based environment; operate a telephone switchboard and inter-communication system; file materials numerically and alphabetically; follow oral and written instructions; accept and follow instructions; cooperative; communicate positively and effectively with staff, patients and patient’s family; work harmoniously with others; understand, explain and apply policies, procedures, rules and regulations pertinent to admission of patients to an acute, skilled nursing or outpatient hospital or outpatient procedure; keep matters confidential; interview others to obtain pertinent admissions information; ability so speak and write English.

Substitution of Education for General Experience: An Associate’s or Bachelor’s from an accredited college or university may substitute for all of the General Experience required.

Must be available to work shifts, weekends, and holidays as necessary, based on hospital operations (services are provided 24/7).

MEDICAL EXAMINATION REQUIREMENT: Offers of employment will be contingent on successfully passing a drug screen and other regulatory medical requirements such as, but not limited to, two-step tuberculosis (TB) screen. The cost for drug screening shall be borne by the Hawaii Health Systems Corporation.

COVID-19 VACCINATION REQUIREMENT: COVID-19 vaccination is a condition of employment for Hawaii Health Systems Corporation. After receiving a conditional offer of employment, all prospective new HHSC employees are required to be fully vaccinated against COVID-19. New employees are required to provide confirmation of their full vaccination status by presenting their CDC vaccination card or VAMS Certificate prior to their start date.
