A Procurement Manager is needed as soon as feasible to join their team. This individual is in charge of carrying out, supervising, and managing procurement operations for all commodities and services connected to facility operation. The position manages contracts and awards regarding facilities operations and management in addition to serving as the procurement manager and supervising staff in the buying role. To oversee the bidding process, negotiate terms and conditions, and handle awards, this job needs knowledge and competence.

Duties and Responsibilities:
  • Develop and maintain strong market knowledge for current trends within facilities management as determined by the goods and services procured, vendor capabilities and changes within this landscape, including but not limited to, furniture, fixture and equipment (FF&E), maintenance, repair and operations (MRO), and capital equipment.
  • Build strong partnerships with internal stakeholders and end users to identify new opportunities for negotiated cost savings and measure business impact.
  • Accountable for performing technically difficult and complex tasks in the procurement of goods and/or services for the assigned category. Respond to unique issues and unusual situations with responsibility to minimize financial risks to the University.
  • Identify errors, problems and/or issues related to purchases and takes corrective actions as necessary, including but not limited to advising and documenting the issue, conducting internal/external audits, and recommending termination of purchase orders or supplier agreements.
  • Directly supervise, oversee 1-2 Buyers/Purchasing Agents
  • Responsible for performing comparative market analysis, assisting with strategic planning for the category assigned, working with logistical issues, developing pricing, dealing with any escalated issues that involve any University vendor/service provider under the assigned category.
  • Work closely with the Director and/or the Strategic Sourcing and Contracts Manager to determine appropriate benchmarking metrics based on the assigned categories. Ensure and review that benchmarking practices are followed.
  • Responsible for evaluating quality of services and make recommendations for improvements; implement goals and establish procedures for contract negotiation services or bidding and subsequent negotiations with vendors.
  • Identify new business requirements and opportunities for cost savings and assist the Director, and/or others as assigned, on special projects.
  • May act on behalf of the Director regarding matters of consequence including administrative and financial management, tracking and reporting. Manages the coordination and production of procurement or contract compliance reports involving high-level interactions with internal and external departments and vendors.
May perform the duties of the Purchasing Agent or Buyer in their absence and perform other duties as assigned.
