Primary responsibility is to assist in program planning and administration of programs and services administered by Healthforce Center at UCSF. Healthforce administers leadership development programs, convenings, networking events, and executive coaching activities for the people of health care. This role will work on some of our programs and services. Responsibilities include:

Program planning, administration, and collaboration

  • Manages on-site and virtual meeting logistics, including proposing venue selection, scheduling, meals and room setup, etc.
  • Communicates with program participants, faculty, facilitators, team members, and others to gather information and documentation needed for program activities and events and to deliver information regarding the program and/or associated events (e.g., logistics, registration, program applications, interviews, participant selection, etc.)
  • Manages and tracks administrative aspects of consultant contracts
  • Manages continuing education certification
  • Updates and maintains Web pages using basic knowledge of HTML or web editing tools, (e.g. posting curated and pre-determined content onto social media, formatting newsletters, etc.).

Document preparation, editing, and modification
  • Collects necessary information and documentation from facilitators, faculty and other presenters to input into reports, presentations, lab books, or other formats
  • Prepares, edits and modifies all program materials with content provided, (e.g., session pre-work, lab books, flyers, reports, social media copy, newsletter blurbs, invites to participants, etc.)
  • Prints, copies, binds, packs and ships materials for in-person programs or events
  • Compiles information for continuing education certification and manages associated process

The final salary and offer components are subject to additional approvals based on UC policy.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Healthforce Center at UCSF is the leading source for research insights into the evolving health care workforce and for pioneering programs that empower leaders to navigate change. Only by bringing together the human ingredients of health care can organizations truly drive positive change. Understanding the dynamics between workforce issues, and the leadership skills required to address them, is a vital step to successfully navigating the health care landscape. We work with foundations, hospitals, delivery systems, organizations, and individuals to ensure more effective health care delivery and to inform health care policy. Our efforts are focused in the core areas of leadership programs and workforce research. We also develop tailored consulting services in leadership training and health workforce research to position our clients for success.

Required Qualifications

  • Bachelor's degree in related area and three years related experience or equivalent combination of experience / training
  • Strong communication and interpersonal skills to communicate effectively, both verbally and in writing.
  • Knowledge of common computer application programs (e.g., Microsoft Outlook, Microsoft Word, Zoom).
  • Ability to use discretion and maintain confidentiality with strong problem-solving skills and sound judgement in responding to issues and concerns.
  • Ability to think creatively and independently on concepts requiring analytical skills.
  • Ability to multi-task with demanding timeframes.
  • The ability to conduct oneself in a highly professional manner.
  • Strong interpersonal skills and ability to work with diverse groups to achieve results.
  • Strong ability to work collaboratively with internal and external peers and managers.
  • Proven meeting, program and event planning and management of projects experience.
  • Excellent organizational and time management skills with ability to multi-task with demanding timeframes
  • Ability to travel and attend offsite meetings on weekdays and weekends, up to 5-days duration, 5 or more times per year (up to 25 days total per year)

Preferred Qualifications

  • Strong project management skills, including ability to manage multiple projects with different managers simultaneously
  • Experience in health care, public health, or public policy.
  • Experience living in and/or or working with diverse populations.
  • Working knowledge of web-based applications (e.g., Drupal, SiteImprove, YouTube) for website maintenance and analytics.
  • Experience with surveys and presentations including related software (e.g., Qualtrics, Excel, Powerpoint, etc)
