SUMMARY:

The Program Coordinator for Student Engagement at the College of Wooster is a member of the Division of Student Affairs (DSA) and reports directly to the Director of Student Engagement. This position provides support and guidance for 120+ student organizations including general oversight of recognized student organization finances and purchases, event planning support, student officer and advisor support, etc. Assists in planning, implementation, and evaluation/assessment of the total student activities and student engagement program as it relates to student organizations and departmental programs, events, and initiatives. Works events, programs, meetings and/or or trainings planned within the department, division, or by student organizations and resident assistants. This includes nights and weekends.

ESSENTIAL DEPARTMENTAL DUTIES AND RESPONSIBILITIES:

  • Advise student leaders on issues, policies and procedures, and organizational operations such as organizational planning, budget management, contracts and purchasing, organization transitions, event planning, marketing, risk management, and conflict resolution/crisis management.
  • Serves as an administrator for Scots Connect (Presence), Wooster's student engagement software. Create, manage, and maintain student organization experiences, processes, and forms in Scots Connect. Provide reports, trainings, and technical assistance.
  • Collects and manages over 120 student organization records including rosters, cabinet information, and advisor contact information. Responsible for data being entered in to the Datatel Colleague System so involvement is tracked.
  • Assists in the planning of Scot Spirit Day, the Student Organization Fair, each Fall, with other Student Engagement staff. This includes participating in the Student Organization Kick Off Meeting with the Director.
  • Creates leadership and organizational development resources and guides for student organization leaders in coordination with the Associate Director of Student Engagement and the Director.
  • Works with the Director of Student Engagement on the development of policies and procedures for student organizations as well as continue to streamline those already in place.
  • Serves as point person in Student Engagement for the student organization websites with Marketing & Communication.
  • May lead workshops and trainings on various leadership or organizational topics as part of the department's leadership development series.
  • Maintains, advertises, and monitors student organization publicity station funded through the student activities fee.
  • Participates in Scot Council's Budget Committee to provide guidance and support related to student organization funds along with the Director.
  • Initiates, negotiates, and prepares contracts for service providers. Processes paperwork for payment.
  • Monitors monthly expenditures and line-item balances and verifies that expenses have been charged to the proper accounts.
  • Reviews the status of all student organization budget accounts monthly. Keeps the Director informed of any unusual or extraordinary account transactions.
  • With the Director, manages over $425,000 in student organization funding.
  • Processes transactions (deposits, expenditures) for both self-generated and Scot Council allocated funds.
  • Works directly with the financial tool in Scots Connect as well as Scotweb to manage student organization finances.
  • Keeps student organization budget records and prepared budget reports as assigned.
  • Has working knowledge and understanding of the College's purchasing policies and procedures, and the role of the Purchasing Services office.
  • Using the Datatel Colleague System is responsible for the initiation, tracking, and receiving of departmental requisitions/purchase orders.
  • Responsible for making sure all required approvals are obtained for such purchases.
  • Serves on various College and Divisional Committees as needed
  • Performs other duties as assigned


Requirements:

EDUCATION AND/OR EXPERIENCE:

Bachelor's degree required. 1 to 3 years professional experience in student activities and event planning, advising student groups, organizational development, and/or budget management are preferred.

KNOWLEDGE, SKILLS AND ABILITIES

KNOWLEDGE:

  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint.
  • Experience with student engagement software such as Presence preferred
  • Strong time management skills. ?Ability to manage multiple tasks simultaneously, work under deadlines, and prioritize projects to meet deadlines.
  • Excellent organizational skills; high attention to detail
  • Demonstrate an ability to collaborate and work effectively with students, faculty, and staff.
  • Must be innovative, self-motivated, flexible, dedicated, and able to work both independently and as an active member of a team
  • Develops professional and collaborative relationships with campus partners

SKILLS:

  • Excellent written and verbal communication skills.
  • Communicate with students in a variety of formats, including, hosting in-person events, meetings, email, Microsoft Teams, and phone.
  • Attention to details; flexibility; positive attitude; friendly; and a high energy level are necessary.
