The College of Liberal and Professional Studies in the University of Pennsylvania's School of Arts and Sciences is dedicated to extending learning beyond traditional borders and engages a richly diverse population of intellectually capable students at many points in their lives. The Program Manager for the High School Programs supports LPS's mission to deliver innovative education programs that meet the highest standards of excellence. The position reports to the Assistant Director of High School Programs. High School Programs sits within LPS' Professional and Organizational Development (POD) unit which extends the reach of liberal arts and sciences by implementing revenue-generating, innovative, and timely programming for a wide-range of audiences including working professionals, recent grads who aspire to be entrepreneurs, and high school students.
Job Description
The Program Manager is responsible for providing administrative support to the High School Programs and Professional and Organizational Development (POD) teams. This position will serve as the logistics coordinator for all existing programs and new programs in development. The candidate will support the Assistant Director and POD/HS teams, including on campus summer credit, pre-college programs, Academic year Young Scholars Program, non-credit academies, Penn Summer Prep, Technology Boot Camps, and new programs. The position supports all administrative aspects of programs such as: scheduling meetings, acquiring space, planning and scheduling the program events, arranging for access to University services and facilities for students, implementing systems to communicate program information to prospective and current students, advising, and performing other activities as relevant. In collaboration with the LPS Marketing staff, s/he administers systems and resources to deliver program information to prospective and current students, particularly through websites, web portals, social media outlets, documents, manuals, special events and workshops. To ensure that LPS Programs adhere to the highest standards of excellence, the coordinator implements routine program evaluation and assessment of LPS High School programs using existing Penn systems. The coordinator reports directly to the Assistant Director of High School programs, and works closely with other members of staff in the LPS academic programs, enrollment services, recruitment and admissions, as well as with other offices and departments in the University.
Coordinate logistics for High School Programs - Serve as program coordinator for all existing programs and new programs in development. Strong understanding of all high school program offerings and ability to communicate those details effectively. Manage scheduling of meetings, space acquisitions, Penn IDs and certificate creation and delivery. Plan all aspects of events including researching spaces, menus, invitations and marketing materials. Book event details, and manage responses. Attend events (sometimes after business hours and on weekends) and complete post event reviews.
Student Services. Assume primary responsibility for answering inquiries from prospective students through our Freshdesk online system, applicants and their families; communicate to prospective and current students. Advise students, monitor their progress through the programs and administer surveys to assess their satisfaction. Provide support to our partners in the residential programs.
Provide supervision to University of Pennsylvania work study students and Summer Discovery staff. Also serve on a 24 hour on-call rotation during the summer months.
Serve as interface with business office - manage paperwork related to paying faculty and vendors, oversee contract payments, timelines/deliverables, provide financial reporting as requested, troubleshoot payment issues, make sure all program supplies have been ordered and receipts kept track of, navigate Penn Marketplace and reconcile ProCard.
Course and Program Events: Support and help execute the planning and implementation of various events designed to support student activities, e.g., orientation, weekend excursions, departure parties, etc. Make sure all swag/gifts for students and staff are ordered and delivered.
Program development, marketing and budgeting reports. Prepare enrollment and academic achievement reports. Prepare materials for the marketing and recruitment teams, budgeting meetings, data reports, program reconciliation and negotiations with external partners.
Qualifications
Bachelor of Arts, Bachelor of Science, Bachelor of Fine Arts, and 2 to 3 years of experience or equivalent combination of education and experience is required.
Superior writing, communication, and interpersonal skills required.
Proficiency with website management, as well as various social media platforms required.
Experience working in academic administration or a University setting or equivalent preferred.
Must pay close attention to detail and have strong organizational skills with the ability to handle multiple tasks simultaneously.
Exceptional administrative, planning, organizational, customer service, and project management skills. Proven ability to organize and prioritize multiple projects.
